Job Overview
To be part of the Property Team and drive the performance of the service KPI’s whilst delivering an outstanding student experience. You will be responsible for driving high quality customer service, with the safety and welfare of students always being paramount. The role involves providing a meet & greet reception and facilities management help desk service as well as supporting all back office functions and administration, in support of the Property Manager and the operations of the site. The postholder will support with open days, intake days and departures as well as day to day visitors, students and College or University staff.
Main duties will include:
1. Answering student queries by telephone, email, letter or in person or directing queries to the relevant member of the management team
2. Handling all manners of enquiries: from students, parents, universities and stakeholders in the business.
3. Being accountable for timely responsiveness and taking appropriate action when receiving feedback from students, resolving customer issues at the time or referring them to management via the appropriate channels
4. Distributing post and managing student parcel pick-up system
5. Front-of-house and reception duties
6. Preparing written correspondence as requested by other members of the management team
7. Receiving student payments
8. Assisting Scheme Manager in administrative actions required for all aspects of financial control including:
1. Credit control
2. Reconciling staff expenses
3. Daily cash and card banking reconciliation
4. Petty cash reconciliation
5. Updating booking system with payments received or further charges
6. Invoice reconciliation and payment request
9. Ordering new office, cleaning and maintenance supplies
10. Preparing arrival packs for new residents
11. Publishing and distributing signage for notice boards around scheme
12. Checking returned licence acceptances ensuring all relevant documents have been received
13. Perform room viewings for potential new residents
14. Assisting the Assistant Scheme Manager with administrative tasks as required
15. Work with the marketing team to actively promote and explore new marketing avenues
16. Organising social events on site, monitoring social media and updating our social media streams
Other Duties
1. Assist with ad hoc requests as necessary for business needs especially at peak times such as student move in and move out weekends
2. Perform and document regular inspections of resident’s flats
3. Monitoring social media and updating our social media streams

Skills
1. Effective communicator
2. Competent user of Microsoft Office, purchasing systems and knowledge of Accommodation Sector booking systems.
3. Ability to confidently deal with customer complaints in a professional manner.
