Main duties of the job
You will be required to provide effective and efficient administrative and secretarial support. You will need to have extensive knowledge of administrative procedures and the ability to use your own initiative to prioritise a varied workload. You will have excellent written and verbal communication skills as well as good organisational and time management qualities.
You will be expected to appropriately manage confidential, complex, and sensitive information, exercising discretion, and always upholding high professional and ethical standards.

Person Specification
Qualifications and Knowledge
1. NVQ level 3 in Business and Administration or equivalent level of demonstrable experience.
2. Proficient in typing and word processing with the ability to transcribe formal minutes.
3. Detailed knowledge of the Trust structure, organization, functions, main objectives, and awareness of policies and procedures.
4. Good understanding of the fundamental issues and working environment facing the Locality Manager and staff.
5. Thorough knowledge of the structure of Management meetings and related working groups, including the main internal and external stakeholders.
6. Aware of the structure, organisation, and general policy of the WAG and the NHS in Wales.
7. Sound knowledge of the organisation and functions of the Welsh Ambulance Services NHS Trust.
Experience
1. Previous experience in a secretarial or administrative role, involving working with key internal and external contacts at a senior level.
2. Experience of handling enquiries/correspondence, including contentious, confidential & sensitive information. For example, safeguarding, disciplinary & management attendance at work personal information.
3. Always maintain GDPR confidentiality along with WAST Governance policy.
4. Experience of coordinating meetings including preparation of agendas, collation of reports, minute taking, and data processing.
Skills and Attributes
1. Secretarial skills, including IT skills, use of fax, e-mail and PC word processing packages, including Microsoft Word, Office and Excel, ORACLE.
2. Good interpersonal and communication skills, able to establish effective working relations with a wide range of internal and external contacts.
3. Good organisation and administrative skills, able to organise own work and Locality Manager's working arrangements.
4. Able to assimilate information quickly and to think logically.
5. Advanced keyboard skills.
6. Self-motivated, with the ability to work under pressure and to deadlines, as required.
7. Able to take initiative, seeking guidance appropriately.
8. Ability to problem solve.
9. Welsh Language Skills are desirable at level 1 in understanding, speaking, reading, and writing in Welsh.
