The Assistant Service Manager (ASM) is accountable to the Assistant Divisional Manager (ADM) and supports the ADM in the delivery of the service. This involves delivery against key performance indicators across the service(s). The role is concerned with supporting, evaluating and leading staff to provide a high-quality service which is efficient, stays within financial constraints and provides high levels of user satisfaction.
The post holder provides the line management for the administrative and clerical staff employed within the specialties, comprising different roles in both clinical and non-clinical areas. These teams are responsible for the provision of high-quality administrative services to the clinical teams.
Day to day services will be managed in accordance with agreed objectives, targets, quality standards, controls, and resource constraints. The post holder may also offer a high level of administrative support and organisation to the senior management team.
The role will have delegated authority for service improvement. One of the expectations of the role is to ensure best practices to ensure consistency of operation across all administrative support areas.
Plan, respond and oversee the day-to-day organisation of all administrative staff within the service(s).
Plan and organise the administrative service(s) within the department.
Ensure effective processes and procedures are in place to monitor and track performance against agreed targets within the service.
Ensure that effective systems are in place to maintain service delivery in the event of staff absences.
Exercise delegated authority on behalf of the ADM, Clinical Leads and Matrons to resolve day to day management issues within the service.
Monitor and manage the analysis of operational and key performance indicator data analysis so the senior management team have access to accurate and timely information where needed.
Oversight of operational activity and KPI’s, with oversight of service activity and utilising data to analyse peaks and troughs.
Ensure all staff adhere to appropriate legislation when dealing with patient material and that suitable booking processes are effectively managed.
Ensure teams are effectively liaising with outpatients to ensure review and continuous oversight of clinics to maximise booking utilisation.
Cross cover other ASMs within the Division – taking an active interest in other subspecialties and inpatient services.
Develop a thorough understanding of all areas within the department including management of pathways and the use of clinical IT systems.

The postholder will be expected to assist the Divisional Management team in achieving national, regional, and local initiatives, identifying the need for additional capacity and resources where necessary.
The postholder will work in coordination with other Assistant Service Managers within the Division to provide overall and prospective cover for Women’s and Children’s Services.
This post is full time - 37.5 hours per week.
