It’s a truly exciting time at Bristol Airport, and we’re looking for an Executive Support Assistant to join us here on a 6-month fixed term basis.
Reporting to our Business Support Manager, the Executive Support Assistant will provide comprehensive, confidential administrative support for up to three Executive Directors. They’ll undertake a variety of responsibilities to ensure the maintenance of high standards of corporate governance and the smooth running of the business.
We’re looking for an experienced Executive Assistant with organisational and administrative skills, and exceptional attention to detail.
PRINCIPAL RESPONSIBILITIES
1. Efficiently manage diaries for Executive Directors, prioritising appointments, scheduling preparation time, and ensuring they are ready for meetings or engagements.
2. Provide administrative support, organise meetings, events, compile information, and prepare meeting materials and follow-ups.
3. Organise meetings and attendees; coordinate agendas and accompanying papers; take minutes and actions; disseminate information following meetings; follow up on actions to ensure completion; and monitor adherence to corporate governance practices and company policies.
4. Assist in preparing and formatting presentations to align with brand guidelines.
5. Undertake the coordination and/or management of key events including team away days/dinners, companywide events and trade conference attendance as required.
6. Undertake accurate and effective electronic record keeping e.g. policy tracker, project dashboards, corporate gift/hospitality register, maintain SharePoint/Teams areas and archives as appropriate.
7. Maintain the legal database for projects including ensuring director signatory, returning executed documentation to contracting partners, uploading documents to the database and ensuring hard copies are stored in accordance with the retention schedule.
8. Undertake support for a variety of projects as required and understand capital development projects, be solution focused and proactive to support process improvements and business activities, while displaying a good understanding of the wider business and the challenges that it faces.
9. Work closely with the Business Support Manager to develop and maintain good corporate governance, including Terms of Reference, templates, project plans and databases, and ensure the central capture of all relevant documentation.
10. Coordinate and organise business travel and accommodation as required, and reconcile corporate credit cards.
11. Undertake any other duties as required, including the provision of cover for absent colleagues, for the smooth running of the business and executive support department.

9. Confident and adaptable in approach, with the capability to effectively manage and prioritise tasks while seamlessly adjusting to change.
10. Proven experience of supporting complex projects with multiple internal and external stakeholders, frequent challenges and multiple conflicting priorities.
11. Proven experience of tracking, updating and owning records linked to project support.
12. Consistent, professional demeanor, with high levels of composure and discretion.
13. Fully conversant with the full suite of Microsoft Office and Office365 applications, including SharePoint/Teams/D365 and proven ability to learn new processes and software pages easily.
14. Experience of flexi-working in an environment, managing own workload based on the needs of stakeholders.
15. Demonstrable resilience with an appetite for challenge and committed to delivering goals.
Desirable
1. An understanding of H&S in the workplace.
2. A good understanding and experience of good internal governance practices, GDPR and its practical application.
3. Comfortable with hybrid working and balancing this with the requirements of the role.
4. An understanding of contract management.
