Senior Operations Manager for the group of Truck, Y Not & Tramlines Festivals
We are looking for 2x Operations Coordinators for full-time fixed term 5 month contracts, to be based working on either Truck Festival or Y Not Festival.
Truck Festival comes straight out of the idyllic Oxfordshire countryside dubbed 'The Godfather of the small festival scene'. Truck is one of the UK’s longest running and most popular music festivals, showcasing the biggest and best emerging artists since 1998!
Y Not is situated in the rolling hills of the Peak District, playing host to global artists and trailblazing emerging talent year on year. What was once a house party has now grown into a full-scale music festival. Y Not may be bigger, but its heart still holds true to its mantra; small, fresh and loud.
KEY INFORMATION (applicable for both roles, with varying on site dates depending on the festival as below)
Contract Start and End Dates: April 1st – August 31st
Truck On Site Dates: 12th July – 1st August
Y Not On Site Dates: 13th July - 6th August

About the Job
The 2x Operations Coordinators are a key part of the planning teams for both Truck and Y Not festivals. These are 2 newly created positions to support our existing teams in the planning and delivery of the shows. Your direct line managers will be the Operations Manager and Senior Operations Manager. You will work closely with various other teams including festival operations, site production and tech production teams, as well as being involved with all wider festival departments. Your main responsibilities will be to support the Operations Manager in key areas for the successful delivery of each festival. The ideal candidate will be a team player who is looking to further grow their career in the event industry.
Scope of Work:
* Support the planning, coordination, and execution of the festivals, ensuring meticulous organisation and adherence to timelines.
* Collaborate closely with the team to oversee logistics; encompassing contractor management, site readiness, setup, and breakdown.
* Contribute to budget management by tracking costs and providing regular updates to the operations team.
* Assist in the procurement and supervision of staff event personnel, including staff, volunteers, and temporary workers, offering direction and assistance throughout.
* Facilitate effective communication channels by liaising with internal departments, external collaborators, sponsors, and stakeholders.
* Keep the production schedule up to date throughout the planning process and ensure all contactors and staff arrival and departure details are included.
* Participate in creation and distribution of event materials such as schedules, itineraries, and production documents.
* Attend meetings, prepare agendas, minutes and follow up on action points as required.
* Assist with the on-site operations, promptly addressing any arising issues to ensure seamless event execution.
* Assist in post-event debriefs and reconciliation, collating feedback to evaluate event success and pinpoint areas for improvement.
What we're looking for:
* At least 2 years’ experience in an events or festival operations coordination role, preferably within the music festival industry.
* Self-motivated, proactive, and able to work well independently, as well as within a team.
* Exceptional organisational and coordination abilities, with the ability to manage complex tasks and work under pressure.
* Good knowledge of Eventree accreditation system (highly desirable).
* Detailed joined up thinking.
* Ability to prioritise and meet deadlines.
* Proficient or worked with Eventree on the back end admin side.
* Excellent communication and interpersonal skills, with the ability to liaise effectively with a range of stakeholders.
* Proficient in Microsoft Office Suite and G Suite.
* Willingness to work flexible hours, and support on our other festivals and events throughout the year, as required.
* Dedication to being 'hands on' during all stages of planning and the event.
These are full time, fixed term contracts for 5 months, with a hybrid working pattern based in our Central London office 4 days a week and working from home 1 day a week. You will be required to work on site in July and August on site at the shows.
