The Role As the Executive Assistant to our Managing Partner (MP), you’ll play a pivotal role in providing high-level administrative support, ensuring the MP’s day to day work runs smoothly. This fast-paced and multifaceted role requires exceptional organisational skills and the ability to think and act independently, to predict and resolve challenges in a tactful and collaborative manner. From managing schedules to coordinating meetings, handling communications and supporting various strategic and administrative tasks, you’ll be an integral support to the MP. This role reports directly to the MP but will also work independently with Board members and the MP’s direct reports to support the smooth running of the firm. Attendance at the office is vital for the role, but there is flexibility on timings and a mix of remote working is possible. Key Requirements Calendar Management: Organise and manage the MP's schedule, including setting up meetings, appointments, and travel arrangements for the MP and for others. Proactive management of internal meetings: Diarise and organise all monthly Operations Group, Exec Team and Board meetings with both internal and external participants. Project Management: Assist in managing various projects, ensuring deadlines are met and tasks are completed efficiently. Communication: Draft, review, and send communications on behalf of the MP. Handle calls and emails, prioritising and responding as necessary. Meeting Coordination: Prepare for and coordinate logistics of meetings, including gathering and distributing packs/documents well in advance, setting agendas, taking minutes and proactive follow-up on actions. Internal Relations: Serve as a primary point of contact for all the MP’s direct reports, building excellent independent relationships to help all direct reports with their work with the MP, both as individuals and in their role in various groups across the firm. Confidentiality: Handle sensitive information with the utmost discretion and confidentiality. What We’re Looking For Proven experience as an executive assistant or in a similar role, preferably within a law firm or professional services environment. Excellent written and verbal communication skills. Strong organisational and time-management abilities. Proactive approach with the ability to think and act independently, to predict and resolve challenges in a tactful and collaborative manner. Ability to excel in a fast-paced and dynamic environment, requiring flexibility and adaptability. Proficiency in Microsoft Office and Teams, Adobe, and other relevant software. Ability to multitask and prioritise tasks effectively. Strong attention to detail and problem-solving skills. Excellent Interpersonal skills and the ability to build professional rapport with people at all levels across the firm with an understanding of the various roles and differing demands on time.
