Reporting into the HR Lead, the Workforce Coordinator will play a key role in ensuring the effective management of staffing levels across all departments by coordinating schedules, monitoring staffing needs, and liaising with internal teams and external agencies. This position will require excellent organizational skills, strong communication, and the ability to respond to fluctuating workforce demands in a fast-paced environment.
Responsibilities:
1. Manage and update the Priory internal rostering system for all hospital wards.
2. Work with Ward Managers to plan staffing schedules 8-12 weeks in advance, including holiday and training cover.
3. Prioritize filling vacancies with overtime and bank staff, then liaise with temporary agencies when necessary.
4. Support Ward Managers in achieving safe and effective staffing levels.
5. Fill short-term vacancies (e.g., sickness cover) as a priority.
6. Communicate roster changes effectively to ward teams.
7. Promote and maintain app-based software to publicize vacant shifts for bank and permanent staff.
8. Attend daily 'flash' meetings to update on staffing levels and address short-term issues.
9. Ensure the rostering system is updated daily for accurate staffing levels.
10. Ensure all agencies used for temporary shifts comply with Priory’s PSL and contractual requirements.
11. Raise Purchase Orders (POs) for accurate billing and reporting.
12. Negotiate long-term locum bookings with approved agencies as required.
13. Ensure new bank workers complete inductions and mandatory training on time.
14. Engage with bank workers regularly to manage availability and maintain high engagement.
15. Track and manage bank workers who haven’t picked up shifts or have cancelled frequently.
16. Collaborate with HR to ensure payroll updates are made in line with rostering schedules.
17. Provide weekly staffing reports to the Hospital Director.
18. Escalate staffing issues promptly to relevant parties as per company policy.
19. Offer support and cover to the wider team when needed.

20. Good standard of general education with GCSE or equivalent in maths and English
21. Competent in the use of software including Microsoft office
