JOB DESCRIPTION
JOB TITLE: Depot Co-ordinator
PURPOSE OF POSITION:
Front of house customer service with responsibility for order processing.
Warehouse stock management and the loading and unloading of vehicles.
REPORTS TO: DEPOT CONTROLLER
DIMENSIONS OF THE JOB:
(Accountability – money and people)
• Responsible for handling card payment transactions
• No staff supervision
NATURE AND SCOPE OF THE JOB:
• Forklift licence or willing to re do licence
• Willing to learn product range
• Ability to statistically record activity levels / stock control reports
• Excellent customer service
• Good communication and liaison skills
• IT Literate – Microsoft Packages and experience in using databases
• Ability to work under own initiative
• Attention to detail
• Flexibility to expand within the role
PRINCIPAL ACCOUNTABILITIES:
• To assist the Depot Controller in the operation of the Birmingham Depot which includes:
- Processing of all orders received via e-mail; telephone and customers in person
- To assist in the handling of Adflex and card sales while ensuring full compliance with set procedures
- To assist in the distribution of orders for packed products using specified hauliers to ensure timely and cost effective deliveries, using active portals where necessary, producing labels and liaising on the phone
- Maintaining stock levels within the depot whilst ensuring good stock management
- To liaise with customers who want to collect goods face to face
• To ensure that close relationships are established with customers in order to effectively manage their requirements and meet their expectations. Providing quotes to customers
• Assist with recording weekly telephone and business activity through the CRM data base
• Make effective use of haulage to maximise profitability and meet distribution budget
• To assist credit control to reduce the debtor days index
• Comply with sales order entry procedures, and sales procedures manual using inhouse computer system
• Produce a daily traffic sheet
• Seek to maintain existing customer base
• Liaise with the Depot Controller and other departments to ensure we provide a safe; economical and profitable operation
• Record, report and monitor all complaints and comply with quality assurance requirements
• Submit monthly exposure hours and absence reports as instructed
• Record and report all safety incidents on inhouse portal (EcoOnline)
• To ensure that all operations carried out within our area of responsibility are undertaken with full regard for the safety of visitors, other members of staff and yourself
• To carry out other appropriate duties as assigned by your line manager
• Assist to keep the depot clean at all times
