Job Title: Centre Administrator (Part-Time, Permanent) - 20 Hours per week Location: Slough The role is primarily responsible for providing administrative support to the trustees and manager in the running of a Welfare association in Slough, whose function it is, to support the local Pakistani community. This role would suit someone who is passionate about supporting local residents and advocating on their behalf. Candidates with experience of working in public sector or charitable/community services would be particularly suited to this type of role. The role offers Monday to Friday working hours, which are compatible with school hours (10.00am to 2.00pm) who have responsibilities for school pickups and drop offs. This is a multi-faceted role, for someone who is either Urdu/Punjabi speaking, covering the following: Key Responsibilities - Reception duties - answering the telephone, taking private & public bookings for use of community hall - Immigration services - supporting eligible residents to attain Pakistani Identity cards - drafting emails and invoices, filing, cash accounting - Welfare memberships, event co-ordination and organising - Maintaining overall presentation, cleanliness of office and hall - Welcoming and responding to community needs and liaising with other organisations and agencies to serve our community - To maintain all records of activity in both hard copy format and on Microsoft packages such as Office and Excel - To support trustees, executive and manager with admin support - Responding to visitors to the Welfare Association and advising them of services provided - Prepare minutes of meetings where necessary - To ensure policies; health and safety, Fire risk, gas safety, electrical safety and other relevant inspections are up to date and progress chase as necessary outstanding actions Person Specification All points are essential unless otherwise stated and are specific to this post. Knowledge and Experience 1. Significant experience of working within an office environment and delivering administrative and secretarial duties 2. Experience of carrying out admin duties, e.g. taking minutes, reconciling petty cash and inputting and monitoring sickness absence and requests for leave. 3. Experience of working collaboratively with others in order to share resources and skills. 4. Experience of taking messages on the phone in a way that is kind, understanding and conveys clarity. 5. Experience of working in the voluntary sector, public authority or business environment Skills and Personal Qualities 1. Excellent written and verbal communication skills 2. Ability to empathise with people of different backgrounds 3. Basic IT skills using MS Word, Excel, Outlook and database input 4. Ability to speak Urdu or Punjabi (as you will be supporting residents, for many of whom, English is not their first language and who are lacking English speaking proficiency). 5. Good teamworking skills 6. Ability to work on initiative with minimum supervision 7.
