Work Duties
5. Raising and closing jobs as needed for the helpdesk function
6. Coordinating facility and equipment maintenance and repairs
7. Efficiently e-filing and managing compliance documents
8. Setting up meetings and appointments with contractors or stakeholders
9. Placing supply orders for necessary stock
10. Keeping track of office supply inventory and placing orders as needed
11. Managing data to support monthly reports
12. Handle office mail and communication
13. Coordinate with internal and external staff regarding general office, estate, and requirements
14. Ensure that office utilities and services are operating as intended
15. Provide general administrative support to management and personnel
16. Coordinate facility-related matters with building management
Skillset
17. Proven experience as an Office or Facilities Administrator or similar role
18. Strong organizational and multitasking skills
19. Excellent communication and interpersonal abilities
20. Good IT skills
21. Proficiency in MS Office (Word, Excel, Outlook)
22. Knowledge of office management procedures
23. Familiarity with health and safety regulations
24. Attention to detail and problem-solving skills
25. Ability to handle confidential information with discretion
26. Experience with facilities management
27. Strong time management skills and ability to prioritize tasks
