Job Title: Accounts Administrator
Reports to: Operations Manager
Responsible for: All aspects of accounting procedures & sales support:
1. Process Purchase & Sales Ledger invoices and allocate payments.
2. Dealing with supplier & customer calls.
3. Supplier Statement reconciliation.
4. Process employee’s expenses in line with company policies.
5. Payroll journal, commission calculation and timesheet activities.
6. Credit control duties.
7. Bank reconciliations.
8. Customer service.
9. Reconciling stock control accounts.
10. Processing Stock adjustments and keeping schedule up-to-date.
11. Assist Key Accounts Personnel & Agents with all account & sales aspects.
12. Dealing with all matters relating to VAT and HM Customs & Excise.
13. Preparation of VAT returns.
14. Intrastat, EC Sales list.
15. Prepare a cheque and BACS run for payment of general suppliers.
16. Ensuring financial controls are maintained in compliance with company requirements.
17. Maintain and reconcile key general ledger accounts and inter-company transactions.
18. Producing financial reports, analysis and information for Management.
19. Processing journals.
20. Support of sales and service departments.
21. Purchasing.
22. Preparation of leasing / hire purchase documents.
23. Completing various quarterly returns.
Duties and Responsibilities
1. Ensures all transactions are carried out according to company procedures, completes required documentation, and carries out other tasks as directed by management.
2. Provide encouragement and motivation to other team members to perform in the areas of responsibility listed above and advising Manager those not complying with good practice.
3. Liaising with each other at the start of each day to communicate information and ensure properly organised.
4. Maintain an overview of requirements and all factors affecting it in all related areas.
5. Provide organisation and communication to departments to minimise delays.
6. Effectively communicate changes/information to all those affected and ensure properly organised to minimise any delays.
7. Monitor performance and be aware of all measures under them. Prioritise and actively work to improve performance.
8. Strive to attain zero errors and zero wastage of time through supervision and initiating longer-term projects.
9. Feed back opportunities for improvement and reasons for poor performance to management and actively participate in identifying and implementing solutions.
10. Covers all urgent requirements from other staff during absence.

However, when it is considered necessary or appropriate by management you may be required to carry out any other duties considered within your skill and competence to assist the smooth running of the business.
