Executive Team Assistant/Personal Assistant

£250 inside IR35
Contract Duration: 6 months initial contract
A global Telecommunications client is seeking a dynamic and organized individual to join their team as an Executive Team Assistant/Personal Assistant. The successful candidate will play a crucial role in supporting the day-to-day operations of a management team. Key Responsibilities:
1. Diary and Meeting Management:
o Organise meetings, considering cultural differences and time zones.
o Prioritise conflicting demands for time efficiently.
2. Travel Planning and Organisation:
o Plan and coordinate travel arrangements for team members.
3. Time and Activity Prioritisation:
o Proactively manage diaries and inboxes.
o Report findings and updates to the manager.
4. Confidentiality:
o Appreciate the sensitivity of issues and adhere to confidentiality protocols.
5. Administrative Support:
o Support the organisation and administration of management meetings.
o Track action points and ensure timely follow-up.
6. Record Keeping:
o Maintain various records, databases, and dashboards for team statistics (locations, roles, etc.).
7. Approval Monitoring:
o Monitor approvals for various processes (Shopping Carts, etc.).
8. Vendor Interaction:
o Interact with vendors and external partners as required.
9. Support People Plan/Governance Team:
o Assist in activities related to the people plan and governance team.
10. Collaboration and Communication:
o Interface with other PAs for meetings and events planning.
o Share communication within the management team.
11. Onboarding and Offboarding:
o Support the process for new joiners and leavers.
Required Technical Skills:
* Proficient in MS Office 365.
* Familiarity with SharePoint.
Qualifications and Experience:
* Previous experience in a similar role is preferred.
* Excellent organizational and multitasking skills.
* Strong communication and interpersonal skills.
* Ability to work independently and collaboratively.
* High level of discretion and confidentiality.
