Responsibilities
1. Manage the order email inbox.
2. Key delivery sales orders.
3. Liaise with Account Managers regarding prices and material codes for orders & replacement stock.
4. Liaise with Despatch team regarding delivery.
5. Liaise with trade customers regarding simple enquiries/queries.
6. Deal with Bonded deliveries, Duty Paid/In Bond CPR releases.
7. Deal with Duty Paid/In Bond into Customer Private Reserve (CPR) orders.
8. Deal with Reservation and Consignment orders.
9. Maintain and take ownership of orders/invoicing in ProcureWizard.
10. Maintain catalogue of available stock on ProcureWizard and other trade portals (working with Account Managers).
11. Key samples FOC orders to customers.
12. Provide email response when Account Managers are Out of office.
13. Produce reports for Account Managers, including daily order tally, monthly CPR releases, monthly paid/unpaid reserves.
14. Check order releases daily.
15. Liaise with Customer Service regarding credit/debit notes/queries.
16. Liaise with Credit Control re account balances/holds.
Qualifications
1. Proven administration experience.
2. Excellent communication skills both written and verbally, and any other languages are beneficial.
3. Ability to work well under pressure and to tight deadlines.
4. An eye for detail and accuracy.
5. Analytical skills.
6. Previous experience of order processing.
7. The ability to handle complaints and difficult situations in a patient, calm and effective way.
8. Experience of using bespoke systems (SAP is particularly advantageous).
9. Previous working experience in a similar role.
10. Excellent attention to detail with a high level of accuracy.
11. Highly organised with the ability to prioritise accordingly.
12. Ability to build positive working relationships and develop trust with all stakeholders.
13. A pro-active and flexible approach.
14. Excellent problem-solving skills.
15. Highly IT competent, especially with Excel.
16. Ability to communicate effectively with all levels.
17. A basic to intermediate level of wine knowledge.
18. A passion for wine.
19. WSET Level 2 (desirable).
