Join the Portsmouth Water team as a Project Administrator! We're looking for a highly organised and proactive individual to support our exciting Havant Thicket Reservoir project. In this key role, you’ll take responsibility for coordinating and minuting internal and external meetings, tracking actions, and ensuring timely follow-ups. You'll work closely with the PMO Manager to support governance processes, assist with documentation, and help prepare project reports and materials.
Your day-to-day will include scheduling and supporting project meetings and site visits, handling general office administration, and ensuring smooth communication between teams and stakeholders. From managing diaries and booking meeting rooms to distributing essential project updates, you'll play a vital role in keeping everything running efficiently. What will you be doing?
Key Responsibilities
Writing and issuing comprehensive minutes for a wide range of internal and external meetings. This will include ensuring minutes are signed off and tracking actions to ensure they are completed on schedule
Assist the PMO Manager in managing governance processes and documentation
Co-ordinate and schedule governance meetings, ensuring all required materials are prepared in advance.
Assist in the preparation of reports, data entry, and co-ordination of project documentation
Administrative support for the Havant Thicket Reservoir meetings and site visits, including, but not limited to issuing agendas, booking rooms, coordinating diaries, organising refreshments, greeting guests
General office administration, including ordering and distributing stationary, ordering and coordinating Personal Protective Equipment and supporting the Commercial Administrator to raise purchase orders
Communicating with HT Team and stakeholders regarding project objectives and supporting coordination and management
Distributing key information to internal and external stakeholders

Ability to communicate, engage and support all members of the project team
Polite and confident manner
Excellent organisation and self-management skills
Resilience and the ability to work to deadlines
Good analytical skills, with the ability to review documents and provide constructive recommendations
Proficiency in Excel/PowerPoint/Word/Teams
Team-orientated with strong interpersonal skills
Confidentiality and discretion when handling sensitive information
