Job Description
* Liaise with Company Secretary to co-ordinate Board and Committee meetings, and off-site strategy days.
* Ad hoc support to Finance Directors where possible.
* Provide support to the Finance Team with budgeting and monitoring of expenses/contractor costs when required.
* Support Executives in their activity with external associations.
* Arranging workshops/offsite meetings including arranging venue, catering etc.
Responsibilities
* Extensive diary management for three executives. Arrange meetings (internal and external) and monitor diaries to ensure best use of time and avoid conflicts, giving special consideration to travel/time zone.
* Effective gatekeeping, forward planning, and scheduling.
* Inbox management for two executives, flagging urgent emails and filtering into subfolders.
* Extensive travel arrangements in coordination with other EAs across the world as required and in line with the Company Travel Policy. To arrange complex international travel and logistics across time zones, which may include flights, train journeys, accommodation, VISAs. Ensure trip details are diarised accurately.
* Coordination and submission of expenses in a timely manner ensuring that the required receipts are obtained, and company travel tools utilised effectively.
* Organise and coordinate Executive Committee events and Finance Team social events.
* Communicate with external contacts providing responses, including resolving and/or directing requests to more appropriate areas in the company.
* Coordination of regular meetings with Executives' direct reports and the wider team.
* Attend meetings with Executives and take action points.
Qualifications
Required experience & competencies
Experience:
* Proven Executive Assistant experience, ideally within the finance or insurance market and within a Global environment
Personal Competences:
* French language skills are highly desired
* Trustworthy and honest with high ethical and personal standards
* Ability to handle confidential sensitive items in a discrete manner
* Excellent organisational skills to assist with project deliverables
* Excellent communication skills for effective internal and external communication at all levels
