Personal Assistant to the Directors (Full-Time)
Location: Manchester (On-site, with some remote work)

About the Role
We are seeking a highly organised and proactive Personal Assistant to support the Directors across multiple businesses, including Federal Café & Bar, Primo, Just Natas, Yes Burger, and Federal Properties. This role is ideal for someone who thrives in a fast-paced environment, can multitask effectively, and is comfortable handling confidential and high-level responsibilities.
Key Responsibilities
Personal & Executive Support:
* Manage multiple email accounts (Claudio, Yaw, Federal Info, Federal Properties, Natas, Yes Burger, Primo), responding professionally and efficiently on behalf of the Directors.
* Handle incoming and outgoing calls, mail, and document archiving for easy online access.
* Oversee the Director’s personal LinkedIn account, including posting updates, responding to messages, and engaging with key connections.
Diary & Travel Management:
* Manage the Directors’ calendars, scheduling meetings and appointments.
* Arrange and oversee personal and business travel, including flights, accommodation, and detailed itineraries.
Property & Asset Management:
* Organise and oversee properties, vehicles, and insurance (for both homes and business assets).
* Coordinate property maintenance, utility bills, and administrative tasks related to property management.
Finance & Admin Oversight:
* Review the bookkeeper’s work to ensure accuracy.
* Check and verify invoices before approval.
* Assist in administrative tasks across different business operations.
Operations, Marketing & AI Integration:
* Collaborate with the Federal Café & Bar Operations Manager to ensure smooth business operations.
* Assist with marketing strategy and implementation across all businesses.
* Attend key meetings and events (which may occasionally be outside of standard working hours).
* Utilise AI-powered tools for task automation, scheduling, data management, and business operations.
* Implement AI-based solutions to improve efficiency in email sorting, reporting, and workflow management.
What We’re Looking For
Experience & Skills:
* Proven Personal Assistant (PA) experience is essential.
* Strong administrative skills and high attention to detail.
* Ability to set up and manage email systems efficiently.
* Experience in property, insurance, or asset management is a plus.
* Familiarity with AI tools and automation software for business efficiency.
* Ability to manage and optimise a professional LinkedIn profile, ensuring strategic engagement.
* Hospitality experience is a bonus but not required.
