A pro-active, professional, and discreet Executive Assistant is required to manage the CEO’s busy diary and all aspects of his day-to-day affairs. Key Accountabilities Management of CEO’s diary Ensuring CEO is fully briefed & prepared for all meetings Meeting and greeting visitors at all levels of seniority Travel planning - domestic & foreign Managing CEO’s vehicles, including scheduling MOT inspection, service etc. and liaising with his driver to arrange diaries/travel as required Administrative support to the CEO in managing his portfolio of businesses and properties. Maintaining absolute discretion and confidentiality in respect of all aspects of personal data and corporate confidential information. Administrative support to CEO – to include: Management of diary including arrangement of meetings Composing and preparing correspondence on behalf of the CEO Running minor errands for the CEO upon request. Meeting secretariat duties – e.g. publishing agendas, distribution of board packs & committee packs, taking minutes, tracking outstanding actions, administrative tasks and helping with formatting of slide decks. Skills & Competencies Strong organisational skills Ability to perform and prioritise multiple tasks simultaneously Excellent attention to detail. Confident problem solver Excellent communicator in person, on telephone, and in writing Highly numerate and confident in managing commercial decisions/priorities Highly intelligent with the ability to take on a wide range of topics & succeed Strong work ethic Knowledge & Qualifications 3 years’ experience as an Executive Assistant/Personal Assistant. Proficient in MS Suite – Word, Excel, PowerPoint, Outlook. Experience working in a regulated financial services organisation, or other corporate professional services environment, would be strongly preferred. Personal Attributes Calm, capable, confident.
