The Pharmacy Services of the Royal Free London are seeking to appoint a Pharmacy Administrator & Office Support worker based at the Royal Free Hospital site Hampstead, North London.
The successful candidate will be an experienced, enthusiastic administrator working for the PA to the Chief Pharmacist, the Pharmacy Operations Manager and other senior staff across our Pharmacy sites. The successful candidate will liaise with a wide range of internal and external staff in the course of their work. An ability to use tact and discretion to a high and consistent degree are essential for the smooth running of this post and for the functions of the Royal Free Pharmacy office.
Main duties of the job
The postholder will provide a range of administrative and clerical duties including:
1. Taking and directing telephone calls and relaying messages as necessary.
2. Help maintain the Pharmacy Healthroster logging all relevant absences in a timely and accurate manner.
3. Process Bank and agency timesheets under the direction of the PA to the Chief Pharmacist.
4. Order stationery and other agreed items and services via the Trust Procurement Portal.
5. Assist in loading vacant posts onto the Trust recruitment portal TRAC.
6. Act as a meeting secretary for a number of Pharmacy based meetings, organising agendas, taking minutes and maintaining an appropriate action log.
7. Assist in the good working order of office equipment, reporting faults to appropriate services.
8. Assist the PA to the Chief Pharmacist with new staff inductions for staff based within Pharmacy Patient Services.
9. Provide copy typing / data entry work as requested by senior management using Microsoft Word and / or Excel.
10. Cover agreed additional duties in the absence of the PA to the Chief Pharmacist.

Education & Professional Qualifications
* Basic general education with minimum of 5 GCSE's or equivalent.
* A Level / Degree standard of education.
* Recognised secretarial qualification.
* Knowledge of Microsoft Office particularly the Word and Excel packages.
Experience
* Proven secretarial / office experience, preferably in a hospital environment.
* Proven ability to work independently with minimum supervision.
* Experience of using Microsoft Excel producing spreadsheets and graphical data.
* Experience in assisting the running of meetings, booking rooms, circulating agendas and papers, taking minutes / creating and monitoring action points.
* Proven ability to meet deadlines.
Skills and Aptitudes
* Able to provide accurate copy typing (min 50 wpm) and audio typing (min 40 wpm).
* Ability to grasp use of various computer packages promptly.
* Good command of written and spoken English.
* Able to draft correspondence independently for senior staff perusal.
* Ability to manage filing systems.

£31,944 to £34,937 a year per annum inclusive of HCAS.
