Role Purpose
Reporting daily to the Office Service Coordinator or Facilities Manager, the role of Facilities Coordinator has been created to assist in all and any areas to ensure that the FM services to the building run smoothly.
What this job involves
1. Assessing building maintenance issues by conducting weekly walks of the building and recording the findings.
2. Working with the Facilities Manager and Moves and Changes team to address internal space requirements and to organise/assist with team moves and Moves and Changes team.
3. Monitoring stock levels of Stationary and Consumables used by Employees and placing orders with suppliers.
4. Managing internal moves within the building with the Facilities Manager.
5. Working with Facilities Manager and Moves and Changes team to maintain floor plans.
6. Assisting in setting up in house and external events as and when required.
7. Working with the Building Operations team and reporting all defective H&S equipment to the respective person and arrange for repairs to be carried out.
8. Supporting the Office Service Coordinator as and when required regarding vendor management and Soft Service Support.
9. Managing fire wardens and first aiders and assist with scheduling training and refresher training as necessary.
10. Upkeep and review of Manuals, Handbooks, Guidance notes etc.
11. Cover Receptionist Role & Responsibilities when required
12. Understand primary responsibilities of Meeting and Evens and support M&E Specialist when required
13. Manage day to day mail room operation, deliveries, enquiries, etc.
14. Be aware of basic procedures, courier suppliers and all external key contacts.
15. Manage mail related supplies stock and place order when needed.
16. Other tasks and duties as required.
17. Responsibilities are MST 12 & DUS10
18. Manage client ticket portal (SIM-T) and support with CORRIGO ticket system.

19. Previous experience of working within a high profile corporate environment
20. Previous reception or hospitality experience would be beneficial
21. Pro-active and hands on – happy to support other Team members
22. Knowledge of Facilities Management processes preferable
23. IT Skills, Outlook, Excel, Word.
24. Professional, friendly and welcoming attitude
25. Good attention to detail
26. Ability to show initiative
27. Excellent communication skills
28. Organisational skills and the ability to prioritise a busy workload
29. Customer service background essential
