The opportunity.
Due to our continued and enthusiastic growth plans, we are looking for an Administrator to join our Oxford office who will provide support to our central function teams, our colleagues and our clients.
You will work closely with our HR, Finance and other support teams to provide an exceptional and proactive level of administration support.
You will be an exceptionally well-organised administrator who is confident with Microsoft packages, has excellent inter-personal skills, and a methodical approach to work with great attention to detail.
What will you do?
Working closely with your direct team and wider company colleagues, you will be providing administration support across multiple functions.
Duties will include (but are not limited to):
* Provide general proactive administrative support including typing, formatting documents, filing, photocopying, and report writing.
* Taking of incoming telephone calls and transferring to relevant colleague. Assist with reception duties and arranging / coordinating lunches and staff events.
* Assist senior staff with appointments and diary planning for client meetings.
* Receive, sort and allocation of all incoming correspondence, and the dispatch of all outgoing post.
* Monitoring of stationery supplies and the re-ordering when necessary.
* Database management including project updates, timesheets and expenses collation.
* Monitoring and updating of team training and CPD records.
* Communicate professionally at all times with clients and staff.
* Management of personal workload ensuring that all administrative tasks are undertaken at the appropriate time with minimal supervision.
* Liaising with other members of the team to ensure the smooth running of the office.
What we are looking for:
* GCSE level or equivalent.
* Software experience of MS Office, Adobe, Excel.
* Excellent inter-personal and visitor facing skills.
* An accurate and methodical approach to your work.
* Good organisational and prioritisation skills.
* Self-motivated and the ability to work as a member of a team.
* Data base input and management experience.
