Job summary
An opportunity has arisen for a full time Team Administrator to work at Ravenswood House, medium secure unit. This busy and varied role is an integral part of the support to the Modern Matron and Leadership Team at Ravenswood House. The successful applicant will work as a member of our existing administration team to provide full secretarial and administrative support to the Modern Matron.
We are looking for an enthusiastic, proactive and well-motivated individual. You will need to be hard working and have excellent verbal and written communication skills, as well as excellent time management. You will need to be IT literate, able to work with different computer systems confidently and demonstrate expertise in the full range of administrative skills. You will be well organised, able to prioritise and have the ability to work as part of a team as well as being self-motivated and able to use your own initiative. The role will include a wide variety of administrative tasks such as data inputting, typing, word processing, minute taking and co-ordinating meetings.
Main duties, tasks & skills required
The post holder will be expected to provide administrative support to the Modern Matron and be responsible for a wide range of staff related tasks.
Main tasks will include but are not limited to:
1. Keeping the diary for the Modern Matron with use of Outlook calendar; preparation of documentation for meetings when required.
2. Administration of recruitment for nursing staff (including international nurses) and support staff in liaison with managers using Oleeo recruitment system.
3. Support visits to the unit, including external CQC, QNGMHS, Provider Collaborative, Commissioners as well as internal colleagues.
4. Arrange face to face or Microsoft Teams meetings. Attend meetings as required by the Modern Matron or Senior Leadership Team. Take minutes and send within 10 days including action plan as required.
5. Liaise with SHFT Learning Environment Team in relation to student placements; liaison with universities and disseminating information to ward managers.
6. Preparation of monthly supervision sheets for all teams (including Southfield), ensuring timely return of completed sheets leading to monthly provision of supervision, bank shift and sickness statistics submitted in the first week of the month. Production of monthly KPI dashboard for each ward.
