OPEN TO NATIONALS OF NATO MEMBER STATES ONLY Job Title\: Human Resources Assistant NATO Body\: Headquarters Allied Maritime Command (HQ MARCOM) Location\: Northwood, Middlesex, UK Basic Monthly Salary\: 4,804.45 GBP Contract Length\: 6 months (see Contract section below) Closing Date\: 23 September 2024 SECURITY CLEARANCE\: NATO SECRET (NS) POST CONTEXT Headquarters Allied Maritime Command is the Maritime Theatre Component Commander delivering 360 degree maritime focussed awareness and connectivity while planning and commanding the full range of maritime operations. The Civilian Human Resources Office (CHR) is responsible for all HR matters pertaining to NATO International Civilians (NICs) and all other relevant civilian personnel. REQUIREMENT There is a requirement to recruit an individual on a 6 month contract in order to support the Civilian HR office and undertake the following duties (this list is not exhaustive and is subject to change): DUTIES Recruitment - Provide direct support to MARCOM on the advertising, recruitment and onboarding of civilian Personnel which includes management of the recruitment campaigns, administration of the interview panels and supporting the creation of job descriptions and job adverts ensuring engagement across the Headquarters. - Initiating security clearance applications and transfers for MARCOM civilian staff. Manage Civilian Personnel Security Clearance (PSC) processes including coordination with the respective National Security Agencies. - Initiating pre-employment medicals for new staff. - Produce required paperwork for onboarding of new staff. - Support travel and removal required for MARCOM and NCIA staff prior to commencing employment. Other - Provide input to payroll activities for MARCOM and NCIA civilian staff. - Administer procedures for MARCOM and NCIA staff who separate from the Organisation. - Deputise Staff Assistant (CHRM) in payroll responsibilities. - When needed deputise in-processing role for MARCOM Staff. - Support the digitization of the Civilian HR Office, by ensuring timely filing of documentation and the digitization of the paper HR files into the new digital filing system. SKILLS/EXPERIENCE DESIRED · Experience in personnel administration. · Experience in supporting recruitment and onboarding processes. · High level of proficiency in Microsoft Tools (excel, word, outlook) up to an intermediate level. · Excellent verbal and written communication skills. · Ability to multitask and prioritise and manage varied workload. · Prior experience working in a professional office environment. · This role involves team work and valuing and respecting different nationalities and cultures. ESSENTIAL LANGUAGE AND SECURITY CLEARANCE REQUIREMENTS Language The work both oral and written in this post and in this Headquarters as a whole is conducted mainly in English. As a result, it is essential that the incumbent of this post has sufficient English language skills at the following level: English - PLS 3333 - (Listening, Speaking, Reading and Writing) Security Clearance This post requires the incumbent to hold a NATO Security Clearance at the level of “NATO Secret”. As the requirement is for an individual to fill this post as soon as practically possible and the fact that it is only for a period of 6 months it is essential that the successful candidate has either: · Current NATO Secret (or Higher) Security Clearance Or · Current National equivalent of NATO Secret (or Higher) Security Clearance Or · Recently held NATO Secret (or Higher) Security Clearance that will result in an expedited process to renew the clearance. Unfortunately, candidates that do not meet this requirement will be sifted out. CONTRACT DETAILS The successful candidate will be offered a 6-month temporary contract Depending on requirements it may be extended to a maximum of a further 6 months resulting in a maximum period of employment of 1 year.
