The post holder will support the provision of health care within Cwm Taf Morgannwg University Health Board by supporting the Clinical Audit and Effectiveness Manager and Senior Clinical Audit Facilitator in the implementation and maintenance of the Clinical Audit and Effectiveness programme of work underpinned by the Health and Care Standards.
The post holder will work to standard operating procedures and assist the Clinical Audit Team with the day-to-day clerical duties and respond to routine requests on behalf of the Clinical Audit and Effectiveness Department.
They will provide support with data collection and data entry for a variety of clinical audit activities, assisting the Team with their audit measurement for quality improvement.
Key Responsibilities:
* Support the Clinical Audit and Effectiveness Manager and Senior Clinical Audit Facilitator in the day-to-day running of the Department of Clinical Audit and Effectiveness.
* Work using own initiative, raising concerns or highlighting risks where identified to their Line Manager.
* Have contact with patients during clinical audit activity, providing non-clinical advice concerning procedures and processes e.g. PROMs, patient surveys and will ensure compliance with the Data Protection Act.
* Maintain confidentiality of data and information at all times.
* Ensure records containing confidential personal information on patients and staff are securely stored in accordance with Data Protection Legislation, Caldicott requirements, and the Health Boards Record Management Policy.
* Provide clerical support to the Clinical Audit and Effectiveness Manager, Senior Clinical Audit Facilitator, and the Team e.g. maintaining the Clinical Audit Management Database of projects.
* Plan and book appointments for the Clinical Audit and Effectiveness Manager/Senior Clinical Audit Facilitator as required.
* Assist with the development of spreadsheets and PowerPoint presentations upon request.
* Keep an up-to-date and accurate database of clinical audit and effectiveness activities on behalf of the organisation.
* Provide details of database information as appropriate and upon request.
* Possess standard keyboard skills to input and retrieve data from computerised systems, creating spreadsheets and graphs.
* Utilise available IT programmes to undertake daily duties e.g. Word, Excel, PowerPoint, and Outlook.
* Produce tables, charts, and graphical formats for presentation using PowerPoint.
* Retrieve and extract information from various information sources including paper files, electronic systems, and patient case notes as requested.
* Process and store audit information in accordance with agreed clinical audit working practices, ensuring immediate retrieval is possible upon request.
* Photocopy and scan clinical audit tools using appropriate technology for data collection and data entry in discussion with the Senior Clinical Audit Facilitator e.g. Mortality Review, National Joint Registry, and Patient Reported Outcome Measures (PROMs).
* Obtain information and other materials required by the Clinical Audit Team using discretion and diplomacy, using negotiation and persuasive skills if required.
* Undertake office duties such as responding to routine requests, answering the telephone, receiving and sending mail, corresponding using e-mail, and typing correspondence.
* Be responsible for the Clinical Audit Office filing system and brought forward systems, to include filing of staff personal data/correspondence e.g. all types of leave.
* Assist in the coordination of Team meetings, briefings, and time-outs.
* Distribute information to relevant Departments upon request.
* Locate and retrieve patient case notes and medical records for the purpose of clinical audit for members of the team as required.
* Collect patient case notes and medical records from on-site and off-site storage facilities upon request.
