We are excited to announce that we are recruiting a Band 2 Outpatient Administrative Assistant on a 12 month fixed term contract. The successful candidate will be required to work as part of the clerical team during core working hours providing a high quality administration service to the Outpatient Service including:
- Requesting, pulling and prepping outpatient notes
- Managing Reception Desk for Outpatients Reception
- Booking appointments for outpatient clinics
Duties are encompassed in the following job description. Flexibility is a requirement to assist in covering periods of annual/sick leave.
Main duties of the job
1. Ensure that all required case notes are:
* Available
* Complete
* Up-to-date
* All test results are available
* Tracking entries, where required, are completed
* To be responsible for all Patient Centre procedures relating to the administration of Outpatient Services
* Making appointments as directed to ensure efficient use of clinic time
* Cancelling and re-scheduling clinics and appointments, as required
* 'Cashing up' of appointments with appropriate outcomes
* Identification and passing onto secretaries and Consultants information regarding Did Not Attend patients (DNAs)
* Organising for the referral of patients for further tests or investigations
* Set up any new or amend/alter any existing clinics and letter templates on instruction
* To provide a reception service for the Outpatient Clinics
* To demonstrate good communication skills, welcoming patients and visitors on arrival, directing to the appropriate areas as applicable.
* Answer and deal with any queries either face-to-face or by telephone, liaising with Consultants, medical and administrative staff as and when necessary.
* Provide general clerical assistance as required.

Qualifications
* Good standard of general education
* Formal qualification in keyboard skills
* Formal qualification relevant to role i.e. customer service
Experience
* Some experience allied to the role e.g. customer service
* Experience of work requiring a methodical and organised approach
* Experience of working within a hospital
* Experience of a variety of IT systems e.g. Word/Excel/hospital administration systems
* Previous reception or allied experience
Knowledge/Skills
* Understanding of the requirements of the Outpatient Administrative Assistant role
* Knowledge of confidentiality
* Ability to pass on skills to others
* Appropriate awareness of related activities
* Decision making - knowing when to refer
* Experience of a variety of IT packages
