POSITION SUMMARY
In complete alignment with the Company's Vision, Mission Statement and Values and under the direction of the Mine Manager, this position is expected to provide a variety of complex administrative tasks and responsibilities using strong communication, administrative and organizational skills, while maintaining confidentiality.
ESSENTIAL DUTIES
1. Provide administrative support to Mine Manager and Mine Supervisor (including schedules, appointments, presentations, communications, and union/legal interaction).
2. Perform receptionist duties, monitor and be responsible for communications systems and office equipment.
3. Coordinate couriers, vendor visits and site logs.
4. Coordinate and order Mine Office Supplies for all areas.
5. Reconcile inventory daily.
6. Pickup and send out all Mail.
7. Create and Maintain Manuals for Kronos, SAP, Medius, Concur and D360 programs.
8. Receive Purchase Orders in SAP.
9. Expedite local payables through email, D360 and Medius Coding.
10. Reconcile all GL Accounts for Production Costing and Proper Coding.
11. Journal Entries to adjust costing codes, send to Accountant monthly.
12. Maintain rock pricing changes within SAP and Customers.
13. Summarize, reconcile and enter timecards for hourly payroll in Kronos.
14. Track Hourly employee vacation and BOT for the Mine.
15. Resolve payroll / benefit issues with Human Resources (STD, LTD, Hire, Layoff).
16. Process and Reconcile all Shipments to Customers using ST’s in SAP.
17. Create, Process and Reconcile all Shipments to CTG Plants using STO’s in SAP.
18. File All Payables either manually or electronically.
19. Maintain Concur Expenses accounting for All Employees, Scan and Save Electronically.
20. Maintain and Reconcile All Capital Spending.
21. Conduct daily Production updates.
22. Track daily material to Rail load out and Create Willox Trucking monthly invoice.
23. Track & Release Loaded Rail cars in CP Customer Service Online Program.
24. Conduct daily Material Transfers (MIGO309) from Quarry to Rail Loadout.
25. Process Month End Reports.
26. Create and Distribute Mine Notices.
27. Process Government and Environmental Surveys.
28. Other duties from time to time as requested by management.

1. Unionized payroll and benefits experience.
2. Strong administrative and people skills.
3. Customer Service experience an asset.
4. Experience with purchasing.
5. Strong analytical and problem-solving skills combined with an attention to detail.
6. Excellent time management and organization skills.
7. Excellent organizational and verbal and written communication skills are essential.
8. Computer and data entry experience (Word, PowerPoint, Excel, E1, some network experience).
9. Ability to work independently as well as a member of a team.
10. Ability to multitask and prioritize workload, handling various job responsibilities at once.
11. Ability to show discretion with confidential and/or personal material.
PREFERRED OR DESIRED QUALIFICATIONS
1. Post-secondary diploma preferably in business or equivalent experience.
2. Knowledge of SAP.
WORKING CONDITIONS
This position will be based at the Windermere Mine Operations in Windermere for now with the potential to transition to Kootenay West Mine located near Canal Flats. Travel between the two Mines may be required.
