Department: Procurement Main Location: Apex House Role Purpose The Procurement Assistant is responsible for the administration of purchase orders and related documents within SAP for purchases of goods, materials and services to ensure data accuracy. This role reports to the Procurement Supervisor. Key Responsibilities: Ensure all purchase orders are acknowledged by suppliers in a timely manner. Communicate with suppliers by email or telephone where any data on the order acknowledgment is not in line with Hochiki’s purchase order. Maintain SAP to ensure all purchase order data is accurate in line with order acknowledgements and all electronic documents are filed appropriately. Liaise with internal customers to provide status updates on orders. Adhere to any health, safety and environmental policies and procedures to ensure the safety and wellbeing of staff and visitors. Any other duties as directed by the Procurement Supervisor or Procurement Manager. Person Specification We are looking for individuals who are highly motivated and have a passion to contribute to the success of Hochiki. In addition to this, you will possess the following: Qualifications Essential: Strong education background, holding A-level qualifications (or equivalent) Desirable: Experience Essential: General knowledge of office administration Desirable: Previous experience of working in a Procurement team, ideally within a manufacturing environment Technical Skills Essential: Computer literate, with MS Office skills/abilities Desirable: Experience of using an MRP system and/or SAP Personal Qualities Excellent communication skills Strong organisational skills Self-motivated with the ability to perform calmly and confidently under pressure, achieve goals and meet deadlines A good team player who welcomes change
