We are looking for an enthusiastic and motivated individual to join our successful Apprenticeship Scheme in our WEST team supporting all teams across both counties. The WEST team is a forward-thinking, supportive, and hardworking team that is continuously expanding and developing as individuals and as a service. We provide high-quality evidence-based support to Children & Young People in Schools.
The role will involve a variety of administrative tasks including telephone call handling, liaising with internal and external contacts, data inputting, reception, and general administrative tasks as set out in the job description. The teams are very supportive of each other and encourage a sharing and learning culture, which makes the environment in WEST a great place to work.
You will undertake the Level 2 Intermediate Apprenticeship in Customer Services and be employed on a 15-month fixed term contract for up to 37.5 hours per week. You will be supported throughout the high-quality training programme.

Main Duties of the Job
We are an expanding service and at times the role can be busy. You will be delivering valuable support to the WEST teams, based across Hereford and Worcestershire. There may be some cross-locality working, thus flexibility is required.
A key part of your role will be answering emails and phone calls from parents and/or schools in a confidential and sensitive manner, as well as supporting clinicians with the allocation and organisation of appointments.
You will provide a full range of administrative support to the whole team, which includes typing, taking notes at team meetings, as well as inputting patient information on our Electronic Patient Record Systems.
A good working knowledge of Excel is essential, as well as knowledge of a range of administrative procedures, including Microsoft Word applications. You must have excellent communication, prioritisation, and organisational skills, as well as putting CYPF best interests at the centre of everything you do.

Job Responsibilities
As part of this role, you will undertake clinical record keeping; ensure that all case records are maintained accurately, legibly, and contemporaneously, and that all information acquired in the course of carrying out your duties is treated in the strictest confidence but is shared with all professional colleagues, in line with information sharing policy/protocol.
Undertake administration/secretarial duties that are specific to the role.
Undertake general office duties, as required, e.g. typing, data inputting, filing, scanning, and copying.
Provide administrative support to the team/service meetings, including the preparation and distribution of agendas and papers.
Support clinicians with preparing and sending out clinical documentation such as letters.
Arrange and confirm appointments and meetings, making appropriate arrangements e.g. hospitality, booking venues, equipment, etc.
Answer/deal with telephone enquiries.
Responding and redirecting emails sent to the team's generic email account.

Additional Criteria
* Willingness to undertake and satisfactorily complete the Level 2 Apprenticeship in Business Administration within 15 months.
* You understand that we will not provide sponsorship to work for this role.
Knowledge
* Microsoft packages e.g. Access and PowerPoint.
* Knowledge of administrative working processes and procedures.
* Knowledge of the Data Protection Act and Confidentiality.
Skills & Abilities
* Basic computer skills i.e. able to use email and internet to send and retrieve information.
* Ability to understand the importance of confidentiality and to maintain confidentiality at all times as necessary.
Experience
* Work-related experience of liaising with the public on the telephone and/or face to face which can demonstrate the ability to work with limited supervision but seek advice as appropriate, and the ability to communicate effectively and sensitively with colleagues, members of the public, and others from a variety of backgrounds.
* Experience of team working.
Qualifications
* 4 GCSE (or equivalent) grade A-D (including Maths and English Language).
* Must not have a Level 2 or equivalent qualification in a similar subject e.g. diploma, NVQ.
* Must meet minimum requirements of training provider.
