Job summary We are looking to appoint a pro-active, highly motivated individual to join our Pathology Administration team. You will be expected to carry out duties similar to that of a medical secretary to ensure the management of timely diagnostic reports and patient correspondence for our pathology service. You will work closely with the Pathology Manager and Consultant team to ensure that all service requirements are met. The successful candidate will require excellent typing skills and an understanding of medical terminology. The position will be varied throughout the pathology study of disease and some knowledge of this area of work would be desirable, however training will be provided. You will need to have excellent communication skills and be able to demonstrate that you can work collaboratively in a team. You will need to liaise with clinicians at all levels and managers within the Trust and with external organisations. Time management skills are essential as you will need to balance the demands of a very busy workload, flexibility in working hours will also be required however will fit to suit successful candidate. The post holder will be expected to work independently to manage their own workloads in line with service requirements and local/national policies. Please note that this position will have a start date of June 2025 Main duties of the job Transcribe (within agreed Trust timescales and guidelines), digital/audio dictation, outpatient letters, discharge letters, general correspondence, and reports. Dispatch signed letters and return case notes to Medical Records Library. Answer telephone queries & provide non-clinical advice regarding patient care, Trust staff, GPs and Consultants. Operate filing system for investigations/results, using the Hospital Computer system. Show investigation reports to medical staff. Organise medical representatives' meetings with Consultants'. Develop, maintain & communicate effective working relationships with other staff in the department ensuring a professional and seamless service is provided. Take minutes as requested by Line Manager at relevant departmental meetings. Provide flexible cover/support for secretarial colleagues during periods of sickness, annual leave etc. Participate in training activities of an on-going nature and in respect of new initiatives. Undertake self-supervision and effective self-organisation in terms of managing own workload on a day-to-day basis. Exercise independent judgement and initiative when problems arise by taking appropriate action to resolve the problem, or by referring the problem to the appropriate person. Have awareness of the key targets, e.g. waiting times, the Trust has to meet, both locally and nationally, and to take the necessary steps to ensure these are met. Enter data and text correctly & monitor patient's RTT 18 week pathways.
