Ampa (Shakespeare Martineau, Lime Solicitors, Marrons Planning etc.) are looking to add a People Operations Advisor to their growing Human Resources function.
The People Operations division are typically the first point of call from the business, rapidly handling enquiries into the team. We are accountable for the timely delivery of people administration, ensuring communication and correspondence is of high quality, delivering the ultimate people experience.
Knowledgeable users of people systems, who are naturally inquisitive and will investigate or escalate where expertise or authorisation is required. We proactively seek to support others in the team, as well as focus on team-related projects. Identifying any trends or themes and raising these with the People Operations Manager. We act as the People Operations subject matter experts who are also accountable for delivering and administering people operations activities.
What you will be doing:
* Driving forward the people experience in everything that is undertaken.
* Handling employee lifecycle administration - new starters with on-boarding – preparing contracts, undertaking pre-employment screening checks and cover sheets, coordinating the induction, feeding back on any process improvement suggestions.
* Processing people changes (starters, movers and leavers), generating correspondence, ensuring correspondence is relevant and correct and flagging any suggested template changes, updating people systems and notifying other departments.
* Ensuring all systems are accurate, using checklists and reports where necessary and up to date, and following up where information may be missing to rectify the issue.
* Basic system administration such as updating templates (which have been signed off) and checking profiles and roles have been set up correctly.
* Managing the people operations inbox and ensuring this is cleared daily, spotting any trends or themes and taking remedial action – e.g. reminder communications and suggestions for improving self-service guidance.
* Preparing holiday calculations for new starters and current employees.
* Working closely with Payroll/Reward to ensure any pay & benefit enrolments/changes have been communicated and systems are correct and up to date.
* Assisting with project work and supporting with People Operations and Advisor activities – for example exit interviews, salary reviews, promotions.
* Running processes such as family leave meetings and letters, on-boarding and post-induction, leavers (including exit interviews).
* Representing the People Operations team on projects, including ensuring Operations tasks are completed, undertaking research and ensuring feedback is provided on time.
What you will need:
* Previous administration experience is essential – ideally this will come from an operational and/or people services function, extra points if within a professional services/legal setting.
* A flexible approach and proven ability to manage multiple activities with conflicting deadlines.
* The ability to interact with, and influence, key stakeholders at all levels with confidence and credibility.
* Strong problem-solving skills.
* An excellent level of empathy and emotional intelligence.
* High standards and strong attention to detail.
* Autonomous with your own workload, however also able to enjoy and thrive working in a collaborative team, supporting others when required.
