Job overview
An exciting opportunity has arisen to become a part-time Medical Secretary within the Cardiology team at Southend Hospital in a challenging position requiring someone who is a team player, flexible, organised, and able to work well under pressure.
As our Medical Secretary, you will provide comprehensive secretarial and administrative support to the Consultant and clinical team and be the first point of contact for patients, doctors, and staff throughout the Trust.
Your main responsibilities will be to provide comprehensive secretarial and administrative support to the Consultant and their team to support the demands of their service. Previous medical secretarial experience in a mental health or other NHS setting, alongside clinical systems knowledge and audio typing skills, would be highly beneficial.
Your role requires excellent communication skills, dedication to exceptional patient care and service, the ability to meet the demands of working in a busy environment, and the capability to represent your team and department with the professionalism expected from all our staff.
Main duties of the job
1. Work as part of the clinical support services team to ensure delivery of a comprehensive and effective administration service to medical personnel across the directorate.
2. Provide a comprehensive typing and secretarial service.
3. Advise relevant departments of consultant and team members' annual and study leave arrangements to ensure that relevant adjustments are made to clinic templates and theatre schedules.
4. Liaise with appropriate departments and team members to ensure that any new services introduced run smoothly and efficiently.
5. Be versatile and adaptable to the demands of the medical team.
6. Ensure that the Consultant and/or clinical team adhere to local protocols and government directives regarding waiting list targets.
7. Undertake routine office duties including photocopying, faxing, and general day-to-day maintenance of records when required.
8. Provide cover for absent colleagues within the secretarial team during annual leave and unplanned absences if the need arises.
9. Have a good understanding of RTT and be able to appropriately outcome patients in line with RTT pathways.
10. Contribute to the delivery of a comprehensive and effective medical administration service across the directorate.

Person specification
Qualifications
* To hold GCSE Maths and English of Grade C or above or equivalent certificate.
* RSA/OCR typing/text transcription stage II or equivalent experience.
* The ability to work towards an AMSPAR qualification.
Experience
* Proven experience of working as a secretary/personal assistant/administrator in a busy environment.
* Experience of undertaking diary management for consultants/senior managers.
* Understanding of medical terminology.
* Previous NHS experience.
* Experience using trust computer systems.
