To manage the day to day activities of the staff within Outpatients Reception at the Queen Elizabeth Queen Mother Hospital. The role will include organization of own and other team members work along with contact with service users, members of the public and other external stakeholders. There will be tasks which include organizing and effectively using systems both paper based and digitally. Full details of role specific duties are available within the Job Description.
The main aspects of the role will include:
• Promoting excellent Customer Care sharing knowledge/experiences with others and assist in training to promote a better-quality service.
Using the relevant reports Patient Tracking Lists to monitor the No Outcome Report and escalating to care groups any issues.
• Validation of Patient Initiated follow up and highlighting to care groups
• Organisation of maintenance repairs or reporting of faults.
• Responsible for ordering stationary and other equipment whilst monitoring and maintaining stock levels using NHS Supply Chain and Agresso.
• May be required to organise events and co-ordinate conferences in relevant areas.
• Organisation of work allocation, annual leave and staff rotas ensuring all are on Health Roster and service is covered at all times.
• Working flexibly across the organisation, covering the work of colleagues during peak periods or absence.
• To ensure sickness absence is monitored and managed in line with the Trust Polices
• Ensure Recruitment is managed in line with Department expectations
• Ensure Health and Safety /Manual Handling is maintained within the Department and relevant folders are up to date
