We’re seeking an office coordinator to join our rapidly growing facilities team on a 12 month fixed term contract.
This pivotal role will operate in a hybrid capacity from our offices in Shalford (4 days a week on site). The successful candidate will have the opportunity to work alongside some of the most visionary minds in the automotive field.

In this role, you will oversee, maintain, and ensure the smooth and efficient day-to-day operations of the office, delivering an unparalleled employee experience while enabling exceptional business results.
The role is varied, providing both general operations support and opportunities to get involved in ad-hoc projects.
What you’ll do:
* Act as the first point of contact for the office, including maintenance, cleaning, mailing, shipping, deliveries, supplies, and equipment.
* Manage ad-hoc projects & events, working closely with suppliers and internal and external stakeholders to ensure projects are completed on time and within budget.
* Provide general support to visitors, including answering office access intercom, greeting client visitors, and directing them accordingly.
* Coordinate arrangements for internal and external meetings/team events/lunches.
* Place weekly office grocery supplies orders, take delivery, monitor, and distribute across all offices on site(s).
* Maintain office equipment (ensure copiers/plotters are operational and fully stocked with toner, paper, etc.).
* Monitor office stationery supplies and place orders to replenish where appropriate.
* Oversee cleaning contractors; ensure the office and facilities are well maintained, address issues, schedule regular deep clean sessions, and communicate effectively.
* Manage and respond to office/facilities queries, including carrying out daily inspections of the office.
* Liaise with maintenance providers to coordinate building maintenance and repairs.
* Oversee fire safety measures: fire extinguishers, maintain up-to-date fire test and fire drill reports.
* Arrange courier collections and deliveries.
* Create purchase orders to ensure goods are receipted and liaise directly with suppliers.
* Monitor and replenish first aid kit equipment as required.
* Provide support to the senior leadership team and project support.
* Oversee day-to-day management of contracts with office vendors, service providers, and office lease(s).
* Support enquiries from the wider business and external suppliers.
* Coordinate travel including making bookings/reservations.
* Manage schedules and calendars/set-up processes to coordinate meeting room bookings.
Who you are:
* Degree in a business-related subject or equivalent experience (desirable).
* Relevant office management/operations/facilities management/project management experience, ideally gained in a start-up/high growth business where systems and processes are yet to be developed.
* Excellent IT skills.
* Personable with strong communication and relationship-building capabilities across all levels of the business.
* A multi-tasker who successfully prioritizes and executes against tight deadlines in a rapidly evolving work environment.
* Courageous and ambitious - has a ‘can-do’ attitude and willingness to do whatever it takes to achieve great results; finding a way when encountering obstacles or setbacks.
* Thrives in a fast-paced, start-up environment where change is constant, and structures and systems are new and constantly evolving.
