Our client is a British fashion designer, businesswoman and founder of a luxury female clothing brand, looking for an EA to assist her in a very busy multifaceted role. The role will also support the COO (70:30 split). It’s a dynamic, fast-paced, start-up culture with a small team that is rapidly growing and developing the brand internationally. The founder has a super manic schedule and needs someone who can act as her gatekeeper internally and externally, building structure to her days so she can thrive and run efficiently. The EA will also be responsible for managing her inbox and keeping on top of the multiple messages she receives via social media. They are a great bunch of people, and the founder is really lovely and inspiring but needs a superstar EA who is always one step ahead, pre-empting issues and keeping her schedule on track during the day even when there are last-minute changes.
Executive Assistant Responsibilities:
* Complex diary management, including planning and scheduling meetings, managing time to best effect for both the Founder & COO.
* Organising international travel itineraries; flights, transfers, accommodation etc.
* Inbox management; prioritising and flagging relevant emails and drafting/responding where appropriate in a timely manner.
* Acting as gatekeeper/point of contact for the Founder and being her eyes and ears.
* Managing Founder’s business communications across social media platforms; WhatsApp, Teams etc.
* Liaising with internal PR team to arrange and prepare for press and media interviews.
* RSVP’ing to events.
* Preparing internal and external reports and documentation as needed.
* Building and nurturing relationships with key clients.
* Sorting and managing all expenses/invoices.
* Assisting with business administration.
* Implementing administrative systems and processes.
* Supporting the COO with admin across internal operations: HR, facilities, travel budgets etc.
Private PA tasks for Founder:
* Booking personal appointments.
* Sourcing gifts for friends and family.
* Booking personal travel.
* Assisting with management of private property.
* Handling household bills, car MOTs and services, property insurance renewals etc.
* Being on top of important annual calendar dates (e.g. birthdays, anniversaries etc).
* Tracking all important documents, ensuring all is up to date (e.g. passport, driving licence, etc).
* Ad hoc errands.
This is a really exciting role for someone who is used to working in a creative, fast-paced and dynamic environment, where you have to muck in and think on your feet. There is lots of scope to grow and take on more but they want someone who loves being an EA and knows how to add value. Strong verbal and written communication skills are paramount as you will be liaising with HNW clients. Excellent attention to detail is desired as well as a proactive mindset and positive energy. The right candidate will have come from a creative industry and have experience supporting 1:1 at a senior level. This role is office-based 4 days a week. Whilst it’s not a 24/7 role, some flexibility is required if there are urgent travel issues or alike out of hours.
