We are searching for a Facilities and Procurement Manager to take responsibility for the day-to-day facilities management and procurement across our Kingswood office locations. This is a fantastic opportunity for someone with prior experience in project, budget, and c ontractor management along with health, safety, and environmental compliance knowledge to join us as we continue to grow. This role will involve management of properties across the whole of the UK therefore, regular travel will be expected. What you’ll do as a Facilities and Procurement Manager: Facilities and Health and safety Supervise the maintenance audit regimes and safe systems of work, and actively manage continuous improvement by the contractor. Ensure that all call outs are dealt with efficiency and promptly. Organise and plan office instalments, refurbishments and all site moves Sourcing contractors and suppliers for repairs, maintenance, cleaning, renovations, waste disposal, security and IT systems Developing building plans, outlining strategies for improving efficiency and reducing costs and forecasting future needs Report on condition of Health and Safety compliance within Kingswood locations Ensure safety, evacuation and disaster recovery plan procedures are in place and up to date at all times across all locations and employees are fully conversant with Safety, Health & Environmental policies Ensure that appropriate risk assessments are carried out and managed Undertake regular checks of contractor site logbooks and ensure all H&S records are being correctly maintained and are fully up to date and complete at all times. If required, to co-operate fully and promptly with any accident investigation. Contract and Compliance Management Responsible for the management and negotiation of service contracts, the assessment of quotes, fees and invoice processing to ensure best value and deliverability. Manage Contracted Site Facilities & Service Providers to agreed KPI & SLA measures, budget and compliance requirements, for Cleaning, Security, Waste, Pest Control Supporting all aspects of building management administration which incorporates lease / legal compliance. Prepare set, assess and monitor the service budgets, suggesting and implementing improvements for cost efficiencies across all locations. Maintain proper records of expenditure and spending commitments. Collate and produce relevant data to for monthly reports. Assistance with certain company insurance-related activities Sustainability and Procurement Drive sustainability initiatives across the Kingswood locations that improve ESG performance and make recommendations on initiatives and management practices. Coordinate data collection of energy, water and waste and actively seek ways to reduce consumption / waste with occupiers. Ensure the supply chain is ethical and that it meets our net carbon plans. Forecast price trends and their impact on future activities. Manage the day-to-day procurement operations across our facilities operations, ensuring key metrics are delivered. Negotiate and agree on contracts, monitor the quality of service provided, and ensure all relevant legal terms are agreed upon between us and the suppliers. Develop and implement procurement strategies in alignment with the organisation's goals, objectives, and business plans. Develop strategies to ensure that cost savings and supplier performance targets are met - or exceeded. Identify long-term savings opportunities through strategy creation, exploring all potential value levers. What we are looking for Someone who can maintain good relations with all employees, acting as the first point of contact for facilities management queries Prior experience implementing initiatives highlighted by sustainability consultants to proactively reduce carbon use. Experience of Building & Services management across multiple locations Facilities Supervisory/Management experience Strong communication and interpersonal skills and 'client relationship' skills Financial/Budget management experience & reporting Highly organised and proactive - used to operating in a busy environment with 'interruptions' and changing priorities Proven Experience in service delivery, service level focus and achieving goals Contract handling and negotiation skills.
