Job Overview
Based in Stowmarket, the postholder will provide support to colleagues and leaders for both The Mix and 127 Trading Limited, and play a key role in ensuring the smooth operation of HR processes. The successful candidate will need to have a strongly held belief in the intrinsic value of every individual and a desire to support them in reaching their full potential.
You will be the first port of call for enquiries about HR from employees and the senior leadership team, assisting them to maintain a positive and professional culture for people management and support. You will refer to our external consultants for professional and legal advice as appropriate. You will ensure the charity demonstrates best practices for HR, overseeing and helping develop our policies and procedures.
Main Responsibilities
1. People-centred responsibilities
2. Act as the first point of contact for all employees, providing a listening ear and advice as needed, and proactively and positively supporting the welfare and wellbeing of individuals, teams, and the whole workforce.
3. Oversee the timely and accurate execution of all HR and people-related activities and tasks, appropriately delegating to / working with the Bookkeeper and HR Administrator.
4. Maintain contractual and salary information including contractual variations and variable hours pay, liaising with Finance for the timely and accurate production of payroll.
5. Stay up to date with best practice for HR and people-related issues, proactively suggesting improvements to our HR service and workforce development and disseminating information appropriately.
6. Oversee the starter and leaver processes including providing induction and support to starters.
7. Provide training to colleagues and teams about HR and people-related topics as appropriate.
8. Oversee the recruitment process, supporting recruiting managers and candidates with recruitment tasks; room bookings, collating applications, scheduling interviews, and sending invitations.
9. System, Data and Record-keeping Duties
10. Be the main system administrator for our HR / people systems (currently BreatheHR) and assist others with their use of the systems, maintaining and reporting KPIs.
11. Act as a significant point of contact with the external consultancy (currently Ashtons HR Consulting) seeking their professional and legal advice and guidance and disseminating appropriately internally.
12. Be the named Data Protection Officer for our compliance with General Data Protection Regulations, Freedom of Information, Subject Access Requests providing advice and guidance to leaders and colleagues. Be the initial contact for GDPR-related queries.
13. Work with the Bookkeeper and FOH Team to ensure compliance with people records including DBS and safeguarding, mandatory and discretionary training, pre- and post-employment records, recruitment paperwork and GDPR / FOI documentation.
14. Maintain records of staff training. Review training needs, research training providers, book training, and send training due reminders to staff.
15. General Responsibilities
16. Oversee the policies and procedures relating to people and organisational development providing advice to the leadership about current advisory practices and legal updates, and advice and interpretation of policy to employees.
17. As and when required, advise colleagues on best practice and internal procedures and ensure these are up to date. Advising colleagues on best practice where appropriate. Seeking further external advice when required on behalf of The Mix.
18. Support with updates to policies, procedures, and forms, and their distribution.
19. Process requests for work experience received by The Mix and 127 Trading Ltd.
20. Other Duties
21. Work in accordance with The Mix’s vision, values and policies and procedures, and be proactive in implementing equal opportunities.
22. Undertake any other duties that are commensurate with the post.
Qualifications
* HR/CIPD Qualifications ideally to level 3 or above or equivalent experience/willing to train.
* Substantial HR and employment law experience gained in a HR/people-related role, ideally in a charity or similar organisation.
* Excellent planning and communication skills, both verbal and written.
* Experience with data entry and administrative tasks.
