The Role This position has the responsibility of meeting and exceeding the company standard operating procedures while obtaining client satisfaction. The Record Centre Operative/Driver is responsible for daily activity in the record centre/vault, utilising software to control movement at the box, file, tape, transit case and miscellaneous levels while also having the responsibility of driving for deliveries and confidential client data collections. At weekends this role will include adding orders, processing of requests received by email/phone using the warehouse management system. Key Responsibilities Ensure all daily client work orders are filled upon receipt from Client Service. Ensure rush work orders are processed timely and accurately. Refile files containers and tapes daily and within the allocated timescales. Maintain assigned racking and row upkeep (containers and/or lids, tape cases, transit cases replaced and repaired, floors free of debris, notify the Operations Manager of needed rack or lighting repairs required). Perform auditing per schedule or as requested. Process destruction orders per schedule or as requested. Complete daily paperwork/emails before leaving for the day. Verify and load all orders per SOP’s. Complete daily safety inspection of assigned vehicle. Complete daily runs as assigned by the Records Centre Supervisor and drive and park assigned vehicles in a safe and legal manner. Complete server changes as required. Comply with daily maintenance and safety checks of all record centre vehicles and equipment. Help unload/load trucks/vans. Operate forklifts and/or pick lifts. Comply with all company policies and all relevant data protection legislation to ensure. o Our clients and Team Members’ sensitive and personal information is protected and processed in accordance with the law. o Our Team Members’ and clients’ rights under the legislation are fully protected. Adhere to all company policies and complete all mandatory training modules. Report any potential or actual security, environmental or health and safety incidents to your line manager and / or the OASIS Compliance team as soon as you become aware of them. Additional weekend responsibilities To answer telephone calls, taking ownership, and servicing client requests in a friendly and professional manner. To process client orders, keying system transactions accurately and within the contracted service levels. To take ownership of more complex client requests, managing the client’s expectations, liaising with specialist departments, obtaining input to respond fully to the client within the agreed service levels. To follow all group policies and standard operating procedures. Using strong written and oral communication skills ensure that every contact is managed to a high standard creating a great experience for clients. To update all systems with clear and accurate information, being proactive to establish missing or out of date client contact data. Produce and issue routine system reports and service routine reporting enquiries accurately. To take ownership of complaints, managing client expectations, following up proactively to ensure quick and effective resolution. To identify risks/issues which create a barrier to great client care and highlight these to your manager. To make outbound calls to clients with updates on enquiries or to communicate proactive information. To demonstrate a teamwork ethic, working with and sharing knowledge and experience with colleagues. To continuously support all training and personal development to ensure that you maintain the highest standard of client care. Candidate Requirements Previous experience of working in a multi-drop operation service delivery role preferably within the records management industry. Full clean driving license. Strong attention to detail essential. Flexibility to work between teams. Routine lifting, bending, and overhead stretching. Routine scanning of materials. Routine pushing and pulling boxes, transit cases, tapes and pallet jacks. Ability to operate forklift and/or pick lift (training will be provided). Computer literate. Vetting It will be a requirement to pass all the relevant Vetting checks. Zellis check. DBS check. SC clearance. Warwickshire Police check.
