Job Purpose
We’re looking for an Executive Assistant to support the Chief Executive Officer. This role will prepare and organize important commercial and strategic materials and plans, particularly relating to financial reporting and planning as well as to organise meetings and maintain the CEO’s schedule.
The dynamic nature of this role requires that the ideal candidate have advanced excel skills as well as a keen eye for detail. The role must interact seamlessly and with a professional demeanour across a broad range of individuals including members of the Executive and Senior Management Teams, and leaders that report to the CEO. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and company information while exercising professionalism and discretion.
Key Responsibilities
1. Work directly with the CEO to support aspects of his daily work routine as required.
2. Assist the CEO in the development of presentations and papers for internal and external audiences.
3. Prepare commercial, detailed documents, reports, tables and charts; distribute as appropriate.
4. Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
5. Maintain the CEO’s calendar, including scheduling meetings, appointments, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
6. Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
7. Routinely perform a wide variety of support duties.
8. Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
9. Prepare, reconcile, and submit expense reports.
10. Maintain confidential and sensitive information.
11. Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
