A general office administrator is required for a manufacturing business in the Sheffield area. This role requires an individual who is enthusiastic, has initiative, and can work successfully both within a team and independently.
Responsibilities:
1. Administrative support for the sales, QHSE and warehouse team, as well as general office administrative tasks.
2. Answer and direct phone calls with professionalism and courtesy.
3. Using the Sage system for raising quotes, new sales orders, and creating purchase orders.
4. Assisting the warehouse team with stock management.
5. Managing stock control (monitoring stock levels, re-ordering, reconciliations).
6. Clear communication with other departments ensuring customer stock requirements are communicated.
7. Supporting the Sales team with customer day-to-day management.
8. Communication with customers and suppliers throughout the supply chain.
9. Sales order processing.
10. Interacting with customers daily by answering their questions and directing them to the appropriate service for their needs.
11. Handling complaints and queries professionally and in a calm manner.
12. General administration.
Qualifications:
1. Ability to read and interpret engineering technical drawings preferred.
2. Excellent phone etiquette and communication skills.
3. Strong clerical and organizational abilities.
4. Experience with ERP systems, Sage or other accounting software is a plus.
5. Accurate data entry skills with attention to detail.
6. Previous experience in an administrative role or in engineering is preferred.
7. Ability to work independently and prioritize tasks effectively.
8. Proficient computer skills, including typing and navigating various software applications.
9. Familiarity with general office procedures and equipment.
10. Proficiency in using Microsoft Office Suite (Word, Excel, Outlook, Teams etc).
11. Excellent customer service skills.
12. Excellent organizational skills.
13. Good memory is advantageous in this role.
14. Polite, professional and effective communication skills.
15. Confidence, patience, politeness, tact, and diplomacy when dealing with difficult situations.
16. Excellent telephone manner.
