Job Title: Executive Assistant / General Administrator - Nursing Homes
Job Type: Full-time / Office Based (No Remote Working Option)
Job Overview:
We are seeking a reliable and organised Executive Assistant/General Administrator to manage the day-to-day operations of our homes. This position involves overseeing administrative tasks, ensuring smooth communication among staff and residents, maintaining records, and supporting the overall well-being of residents and staff.
The ideal candidate will possess strong leadership, organisational, and problem-solving skills with a deep understanding of healthcare administration in a nursing home setting.
Key Responsibilities:
1. Oversee and manage daily administrative operations, including staff scheduling, resident records, and facility reports.
2. Coordinate communication between residents, families, staff, and external healthcare providers.
3. Ensure compliance with regulatory requirements and maintain up-to-date knowledge of state and federal healthcare regulations.
4. Handle and manage financial tasks, including budgeting, billing, and procurement.
5. Assist in the recruitment, training, and supervision of administrative and support staff.
6. Implement and maintain policies and procedures to ensure the quality of care for residents.
7. Organize and manage resident admissions and discharges, ensuring proper documentation and coordination.
8. Support management in planning and executing facility events, meetings, and training sessions.
9. Monitor and maintain inventory of office supplies and medical equipment.
10. Respond to resident and family inquiries and concerns in a timely and compassionate manner.
11. Provide administrative support to management and other departments as needed.
Skills and Qualifications:
1. Bachelor's degree in healthcare administration, business, or related field (or equivalent experience).
2. Proven experience in an administrative role, preferably within the healthcare or nursing home sector.
3. Familiarity with healthcare regulations and compliance standards.
4. Strong organizational, multitasking, and time-management skills.
5. Excellent communication skills, both verbal and written.
6. Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.) and basic financial software.
7. Ability to work well under pressure and handle sensitive information with confidentiality and professionalism.
8. Compassionate, empathetic, and dedicated to improving the quality of life for residents.
Preferred Qualifications:
1. Experience in a leadership or supervisory role.
2. Knowledge of healthcare billing and insurance processing.
3. Familiarity with long-term care or skilled nursing facility operations.
Working Conditions:
