Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The successful candidate will provide essential support to ensure the smooth operation of our office. This role requires strong organisational skills, proficiency in various software applications, and excellent communication abilities. The purpose of this role is to act as an Admin Assistant reporting directly to the Hotel Owner, with a secondary reporting line to the Hotel General Manager.
Responsibilities
1. Daily administrative activities of the Hotel Owner and management office.
2. Administrative activities of the Hotel Owner and his affiliated companies and personal work.
3. Ensuring all communications, particularly relating to the Owner, management team, suppliers, contractors and guests, are handled promptly and professionally.
4. Supporting the Hotel Owner and management team and providing diary management and all correspondence administration.
5. Co-ordination of all communications with internal and external stakeholders.
6. Organising and controlling business meetings, action and minutes, tracking actions and communicating updates on progress post meeting.
7. To be fully conversant with the Hotel’s facilities and location to respond to guest enquiries.
8. To promote and report all guest feedback received from guests.
9. Utilise the current in-house system to collate, distribute and ensure timely response to the guest feedback and prepare monthly management information to implement continuous improvement, measuring results.
10. Work alongside Estates and Maintenance Manager to ensure timely and effective communication with engineers, contractors and suppliers including booking attendance to the site and following up for job reports, quotes and invoices.
11. To promote a helpful and professional image within the department ensuring full co-operation is given to colleagues in other departments.

Health & Safety
1. To ensure that the Hotel Health & Safety procedures are adhered to and implemented within the department.
2. To be aware of all legislation that is relevant to your work and ensure that all legal requirements are met including: licensing, health & safety at work, COSHH, environmental health, fire precautions, manual handling and any other relevant policies.

3. As part of the larger team involved in maintaining the standards of Horwood House Hotel, to be available for any reasonable assistance you may be requested to give in other areas of the hotel as business demands.
4. To be aware of the security of the hotel and the people in it. Be familiar with all emergency procedures and act positively both in the event of an emergency and to prevent one.
