Overview
To provide a point of contact for staff, direct locums and agencies and act as a focal point of communication between staff, direct locums and agencies and other members of the urgent care team. To ensure enquiries are promptly, efficiently and courteously handled; documents filed, recorded and distributed accurately and promptly. This is a highly organised role with plenty of responsibility and scope for opportunity.
General Responsibilities
1. To work within the guidelines and policies of Urgent Care.
2. To ensure that statutory compliance requirements are met at all times and to implement practice policies, as directed by the Rota & Compliance Manager.
3. To ensure that safe systems of work are practiced and that the agreed health and safety policies are adhered to.
4. To be conversant with the service fire regulations.
5. A need to work closely with staff, direct locums and agencies to provide a smooth running of the services, reporting any problems encountered to the appropriate person.
6. Training requirements will be monitored by yearly appraisal.
7. Personal development will be encouraged and supported by the Service.
8. It is the individual’s responsibility to remain up to date with recent developments within the services and the NHS.
9. It will be necessary to attend various service meetings as requested which may fall outside normal working hours. The only reason for not attending will be annual, study or sick leave.
PRINCIPAL DUTIES AND RESPONSIBILITIES
1. Highly organised.
2. Booking accurate locum shifts and adding to rotamaster.
3. Contacting agencies to cover gaps on rota.
4. Making sure all clinicians are compliant prior to a shift booking.
5. Signing timesheets and checking they marry with the information on rotamaster.
6. Communicating any rota changes with clinicians.
7. Escalating to management about any gaps on rota.
8. Sorting out stock requests for centres.
9. Web bookings on rota accepting and declining.
10. Emailing rotas at end of shift to rota teams.
11. Checking compliance of new agency staff/complete checklist.
12. Accepting cheapest agency staff to meet business financial requirements.
13. Trained to use Adastra efficiently.
14. Complete compliance as per the locum checklist for all locums.
15. Complete mandatory training within requested time.
16. Being able to manage gaps on rota at short notice.
Telephone system
1. Receive and make calls as required answering any queries that arise.
2. Divert calls and take messages as appropriate ensuring accuracy.
Any other delegated duties considered appropriate to the post.
