Rota Coordinator JOB SUMMARY: We are seeking a dedicated and organised Rota Co-ordinator to join our team at Bancroft Medical Centre. The successful candidate will be responsible for coordinating and managing the appointment and duty schedules for our healthcare professionals, ensuring optimal staffing levels and effective patient care.
KEY RESPONSIBILITIES:
1. Providing systems and processes to ensure safe levels of clinical staffing within the Practice.
2. Ensuring communication regarding gaps and implementing internal cover mechanisms.
3. Escalating issues and risks to the appropriate Manager.
4. Managing all types of leave and absence processes for clinical staff.
5. Planning, building, and managing all clinical rotas.
DUTIES:
1. Working closely with the clinical team and management to ensure safe clinical cover.
2. Maintaining the Rota Planning Spreadsheet to show GP sessions and planned leave.
3. Maintaining and communicating a pathology cover system for all doctors' leave.
4. Highlighting any risks to service or potential requirement for locum cover to the management team.
5. Recording and managing doctors' leave accurately on the surgery system.
6. Ensuring annual and study leave requests are approved per practice policies.
7. Recording trainee GP leave, study leave, and sickness absence on the lead employer portal.
8. Creating and maintaining rotas for all clinical staff.
9. Communicating with staff regarding availability and rota changes.
10. Managing and actioning rota change requests based on staff leave and absences.
11. Working with GP trainers to plan, implement, and manage rotas for medical students and GP trainees.
12. Managing room rotas appropriately when planning clinical rotas.
13. Reading weekly minutes to ensure any leave absence requests are acted upon.
14. Supporting administrative tasks as needed, including managing last-minute appointment changes due to staff sickness.
ADMINISTRATIVE DUTIES:
Good administration is key to this post; you must have a good understanding of Microsoft packages, be able to devise spreadsheets, and manipulate data. You will need to prioritise your work and have a flexible approach to work and unexpected situations. Have an excellent working knowledge of the clinical system, especially the rota creation functionality.
GENERAL:
Carrying out duties involving contact with all staff in a sympathetic, appropriate, and professional manner. Providing assistance and support to all new clinical staff in familiarisation with practice procedures for rotas and absence. Ensuring all duties are carried out to the highest possible standard. The post holder is required to participate in the Practice appraisal process and work towards meeting identified development needs.
