The Role
We are seeking a highly organised, friendly and detail-minded Personal Assistant to support GDL’s Director, Tim Groves. You’ll bring a wide range of exceptional administrative skills, as well as the ability to manage multiple, competing tasks and priorities, while keeping your cool and maintaining confidentiality and professionalism.
The role will involve:
* Providing comprehensive administrative support to the Director, including diary management, scheduling meetings, inbox management and any other tasks as required.
* Email management - monitoring, prioritising and responding to emails on behalf of the Director.
* Preparation of client invoicing data from team timesheets.
* Social Media Management - you will be responsible for all GDL’s socials.
* Assisting in preparing reports, presentations and other documentation as required.
* Involvement in routine administrative HR duties, such as coordinating team annual leave and social events.
* General office management duties for GDL’s two sites.
* Handling the Director’s personal admin and business affairs.
* Proactively creating better systems to ensure the smooth running of the business.
* Any other administrative duties as required.
As well as supporting the Director, you’ll work directly with a variety of wonderful clients, as well as our close-knit and encouraging team.
Skills and Requirements
Essential:
* Exceptional organisational skills and a razor-sharp eye for detail - you’ll be highly organised and have a ‘tidy mind’, taking pride in your work.
* The ability to create efficient systems to streamline current organisational processes, and the ability to see problems and proactively solve them.
* Self-motivated, proactive and the ability to work autonomously.
* Flawless, error-free written and spoken English.
* Social Media management experience, and the ability to raise GDL’s online profile.
* Great communication skills, both written and verbal.
* Confidence in prioritising tasks and remaining calm under pressure.
* Proactive in seeking clarification or assistance when required.
* Absolute discretion and confidentiality.
* The ability to build relationships both internally and externally.
* A friendly, positive attitude with a can-do mindset.
* Fully IT literate, able to easily and quickly learn new software - we are a Mac-based business.
Highly Desirable:
* A genuine passion for the Arts.
* Experience of working in a creative environment.
* Familiarity with Xero or other accounting software.
* Some previous knowledge of graphic and/or web design would be ideal.
Hours and Place of Work
* Hours: 35 hours per week, Monday to Friday.
* Location: Initially, you’ll work full-time from our office in Brockley (London SE4), just a 3-minute walk from Brockley Station. Once you’ve completed your probation and training, you’ll move to a hybrid home/office working arrangement.
We’ll provide all the tools and training you need to excel in your role.

* £27,000 annual salary.
