Global Policy Ltd is a leading international consultancy firm that works with governments, organizations, and individuals to shape policies and drive meaningful change. We are seeking an Administrative Assistant to join our dynamic and passionate team.
Responsibilities:
- Manage and maintain the office filing system, including physical and electronic files
- Handle incoming and outgoing correspondence, including letters, emails, and faxes
- Take minutes during meetings and distribute them to relevant parties
- Prepare and coordinate materials for presentations and meetings
- Help prepare and proofread documents, reports, and presentations
- Answer phone calls and direct them to the appropriate person or take messages
- Coordinate and schedule appointments and meetings for team members
- Assist with travel arrangements and accommodations for team members
- Maintain and update company contact list and databases
- Assist with preparing and processing invoices and expense reports
- Conduct research and gather information for various projects and proposals
- Provide general administrative support to the team as needed
Requirements:
- Bachelor's degree preferred, but not required
- 1-2 years of administrative or office experience
- Excellent organizational and time-management skills
- Strong attention to detail and ability to multitask
- Proficiency in Microsoft Office suite
- Knowledge of office management systems and procedures
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality and work with sensitive information
- Strong problem-solving skills and ability to work independently and with a team
- Passion for making a difference through policy and advocacy work
