Working within the Employee Service Centre at the Castle Hill Hospital, the Team Administrator will provide efficient and effective administrative support to the Director of People Services, the Head of Rostering, Temporary Staffing and Medical Management, and the Group Medical Staffing Manager.
As an integral part of the team, responsibilities include arranging and attending key meetings, diary management, taking notes and/or updating project action logs across the team's portfolio, as well as leading on specific actions as required.
The successful candidate will have excellent communication skills with the ability to problem-solve while prioritising daily tasks. This is a fantastic opportunity to become part of a team that provides people-focused services across the Humber Health Partnership.
Main duties of the job
1. Provide day-to-day diary management and administrative support to the Director of People Services and associated senior leadership team.
2. Arrange key meetings, take notes, and/or update project action logs across the team portfolio as required.
3. Provide administrative support for internal and external audits, ensuring actions are completed within required timescales and central systems are updated as required.
4. Arrange and maintain a number of regular meetings with internal and external colleagues, for example, agency management meetings and internal project meetings.
5. Under the guidance of the Director of People Services and other senior colleagues as required, format and structure reports for submission to key groups/committees.
6. Utilising relevant systems, submit Non-Stock Requisitions and Purchase Orders for authorisation, maintaining internal logs as required.
7. Resolve routine and non-routine queries, answer questions, and signpost to other sources of information as appropriate.
8. Use judgment to make decisions based on existing processes and problem-solve issues.
9. Achieve own designated objectives and Key Performance Indicators (KPIs).
10. Be an effective team member and cooperate to achieve common goals.
11. Maintain the Group's intranet site with information relevant to the role.
12. Support colleagues to ensure that agreed standards are maintained.

Qualifications
* Understanding of a range of work procedures and practices, some of which are non-routine, which require a base level of theoretical knowledge to NVQ3 level or equivalent experience.
Experience
* Experience in working in an administrative role, providing support and guidance to colleagues.
* Experience in working within the NHS.
* Experience of managing and updating systems.
Skills
* Excellent verbal and written communication skills.
* Ability to prioritise workload and meet deadlines.
* Competent in the use of the full suite of Microsoft Office programmes, particularly Word and Excel.
