Assistant Project Support Officer to support the management of the Programme Management Office with the delivery of the Trusts key strategic programmes and projects. Closely engaging with all levels of staff and suppliers to deliver the required deliverables in compliance with the Trusts governance processes. Due to the close working relationships required with Trust colleagues, on-site working will be required on a regular and sometimes ad hoc basis, including being on-site at least two days per week. Staff Management 1. To ensure all staff within the Strategy & Planning division are fully supported with project and programme delivery. 2. Demonstrate effective leadership at all times. 3. Demonstrate supervisory skills for new junior and support staff. 4. Utilise Trusts policies, procedures and guidelines actively contributing to their development. Human Resources 5. Maintain appropriate records, adhering to national, local and Trust guidelines on record keeping. 6. Ensure attendance of staff at mandatory training for compliance. Financial 7. Assist in the development of business processes and reporting for relevant projects. 8. Work closely with the Project Support Officer Lead and PMO team to provide appropriate financial and activity information as required to generate reports for Board committees. 9. To participate in budget setting and productivity and efficiency programme planning. 10. Production of staff capitalisation and revenue reports for recharging of staff costs. Project & BAU Support / Management 1. Provide Project and Administrative support to the. PMO team. 2. Support delivery of the Trusts projects and programmes. 3. Support the production of documentation relating to the projects and BAU. 4. To provide support to the Theatre and other Programmes 5. Operate, maintain, and provide support in the use of the PMO toolset. 6. Co-ordinate and provide support for relevant project managers meetings. 7. Establish and maintain the Trusts project documentation library. 8. Assist in the production of key project documentation. 9. Assist in conducting project audits. 10. Other project duties as and when required. 11. Effectively plan, resource, and monitor small-scale projects, with support of Project Support Officer. 12. Direct and motivate the project team. 13. Identify and manage all stakeholders. 14. Agree any delegation and use of project assurance roles required by relevant Project board. 15. Prepare Project, Stage and, if necessary, Exception Plans in conjunction with Team Managers, and appointed project assurance roles, and agree them with relevant Project Boards. 16. Manage business and project risks, including the development of contingency plans. 17. Support with work prioritisation. 18. Deliver key governance documentation in association with project delivery. 19. Complete and ensure up to date framework documentation is available.
