Receptionist Job Description
Responsible to: Reception Manager, Practice Manager, Partners
MAIN DUTIES AND RESPONSIBILITIES
Responsible for day to day cover of the reception function and ensuring a professional image is maintained at all times. Look at ways to improve the function and liaising with the Reception Manager, Practice Manager and Partners. Keeping communications up to date and ensuring that concise notes are left for other team members, to improve standards and service levels. Look at ways to improve and promote the practice to maximise patient satisfaction.
Other Duties
* Be aware and adhere to all practice policies
* Ensure that the Reception desk is organised, tidy and runs in an efficient manner.
* Ensure that the Dentally appointment system is efficient and accurate, and all patient details are kept up to date and are correct
* Reconcile the credit cards to the report on a daily basis.
* Regularly check and respond accordingly to emails and voicemails/messages left.
* Ensure that all processes are followed for shutting down and the end of the day.
* Check and maintain stock levels of all consumables that are sold via reception.
* Scanning of all paperwork to include referrals and following the referral process.
* Attend all Training courses offered by the practice, i.e., Safeguarding, CPR, etc.
Qualifications
* Proven office and administrative experience in a professional setting
* Strong organizational and multitasking skills
* Excellent communication and interpersonal abilities
* Proficiency in using office software and equipment
* Ability to manage patient records and scheduling efficiently
* Familiarity with dental terminology and procedures is a plus
* Experience of using Dentally appointment booking software or equivalent would be an advantage.
* Attention to detail and a customer-focused mindset
