We now have a vacancy for a Facilities Assistant to join our Facilities and Workplace Services team. This is an active job, where you'll have a dynamic to-do list in a constantly changing work environment. You'll be an integral member of a Helpdesk, providing support to the smooth running of the building by taking pride in supporting the facilities and contracts that make up our space and services.
This is a great opportunity for a keen learner, as there are also potential opportunities for you to undertake additional training such as Fire Warden, First Aid and Mental Health First Aider.
What you will be doing.
* As part of the Facilities & Workplace Services Helpdesk, provide a high standard of customer service to staff, visitors, tenants and contractors.
* Act as an initial point of contact to resolve a wide range of building and service-related requests using a computer-aided job logging system, e.g. CAFM.
* Support the delivery of an efficient service to all building users, seeking and responding to customer feedback.
* Support the facilities management operations of the building to maintain a positive and safe workplace.
* Ensure compliance in upholding the safety and security of the building, undertaking daily quality and health and safety checks of our spaces.
* Support the contract management of services (e.g. cleaning, maintenance, and security).
* Liaise with contractors to track work progress and support invoicing.
* Support the management of tenant requirements.
* Order and manage a range of supplies and consumables for the building, including for kitchens and meeting rooms.
* Assist in the development and delivery of workplace policies.
* Be proactive in recommending improvements and efficiencies to our services.
What’s essential.
* Educated to GCSE level or equivalent.
* Excellent IT Skills, including Word, Excel and PowerPoint.
* Experience of working within a busy corporate environment.
* Practical / physical office experience.
* Experience of working with facilities management or building service providers, with a good knowledge of hard and soft services.
* Excellent stakeholder engagement skills / customer service skills.
* Team player, but with the ability to work independently too.
* Proven ability to work unsupervised and on own initiative, prioritising work to meet demands.
* Excellent written and verbal communication skills.
