Assisting with planning and instructing of surveying works. Checking that client orders are in place in line with quotations and that all information required to plan the works is obtained from the client at the point of booking. Ensuring that employees have correct inductions, qualifications and equipment prior to attending site. Booking inductions where required.
Processing site returns. Ensure all returns received within timescales, electronic filing and maintaining records to show returns received. Chasing up late returns.
Production and distribution of safe dig packs. Quality checking safe dig packs prior to distribution. Maintaining accurate records for invoicing purposes.
The successful applicant will be a well-organised self-starter, able to prioritise their workload and work under their own supervision. Strong administration and organisation skills with the ability to multi-task are essential and previous experience of an office-based role is required.
Attention to detail is essential and excellent communication skills are required as the role includes liaising with both site staff and clients daily.
The candidate should be extremely computer literate, they will be working with Microsoft packages, Adobe Acrobat and online databases and portals.
Main duties and responsibilities
Resource Planning
1. Liaising with commercial and operational staff to gain a full understanding of the works required and checking that purchase orders received match quotes issued.
2. Liaising with clients upon receipt of booking to ensure that all information required for site access is obtained. This will include site documentation, qualifications, inductions and equipment.
3. Planning and booking in jobs with clients based on employee qualifications, location and client requirements.
4. Issuing detailed instructions to employees and confirming attendance with clients.
5. Site paperwork. Electronic filing of paperwork from site; record information received and chase in missing documentation on a daily basis.
6. Complete applications for and book client inductions.
7. Accommodation. Online booking of hotels for site staff.
Document Co-ordination
1. Procure and collate utility provider plant plans into Safe Working Packs in line with company systems and processes.
2. Liaise with clients and utility providers to ensure project information provided by Select Surveys is comprehensive and relevant to client requirements.
3. Carry out quality control procedures on Safe Working Packs in line with company systems and processes.
4. Maintain project related admin and paperwork to ensure accurate and reliable information is available to management and clients.
5. Ensure Safe Working Packs are issued within given timescales.
6. Maintain project logs to ensure that all jobs are prepared and issued to clients within required timescales.
7. Issue packs to clients using client portals.
8. Dealing with or redirecting incoming calls as required, electronic filing, other office duties as and when required.
