Customer Service and Accounts Coordinator - Part-Time
Location: Egham
Hours: Part-time, 25 hours per week (Flexible - can be spread over 3 full days or 5 half days)
Fully Office Based
Salary: £25,000

Are you passionate about delivering exceptional customer service and ensuring smooth post-sales operations? We are seeking a Customer Service & Accounts Coordinator to join our client's team. Reporting to the Customer Service Manager, you will play a crucial role in processing orders, handling inquiries, and managing logistics for customers.
Key Responsibilities:
Operational Processes
1. Handle customer orders received via email or phone
2. Enter orders into the ERP system and manage the process until invoicing and delivery
3. Monitor product availability and suggest substitutions when needed
4. Ensure timely communication with customers regarding order status
5. Coordinate deliveries and returns, ensuring customer satisfaction
6. Manage inventory, stock levels, and consignment expiration dates
Tender Processing
1. Assist in preparing and submitting tender files according to deadlines
2. Organise sample shipments and update customer records
Communication & Collaboration
1. Liaise with internal teams (sales, logistics, finance) to ensure smooth operations
2. Provide regular reports on customer inquiries and issues
3. Relay complex issues to appropriate departments
Claims Handling
1. Be the point of contact for customer claims and ensure efficient resolution
2. Process service-related complaints and escalate material vigilance concerns
Accounting Support
1. Evaluate customer credit profiles and monitor account balances
2. Follow up on overdue accounts and resolve billing discrepancies
3. Credit Control duties
Qualifications & Skills:
1. Proven experience in a similar customer service / accounts administration role
2. Strong verbal and written communication skills
3. Proficiency in Microsoft Office and ERP systems
4. Excellent organisational skills and attention to detail
5. Ability to work collaboratively with various departments
